Summary
The Grants Manger is a key member of The Philadelphia Orchestra and Ensemble Art’s (POEA) Institutional Giving team. Through foundation, corporate, and government funding sources, the Grants team raises funds annually to support POEA’s core artistic, education, and community programs; capital improvement projects, and Orchestra national and international touring. The Grants Manager reports to the Senior Grants Manager and provides comprehensive assistance to help achieve and exceed current funding levels and to identify, cultivate and solicit new funding sources for all programs and events. The Manager will support the cultivation, solicitation and stewardship of institutional funders, with an emphasis on foundations, government and corporate foundations.
The ideal candidate will be comfortable meeting with external funders and be able to write comprehensive and clear proposals and reports. With an eye toward continued growth in POEA’s Institutional Giving program, the Grants Manager conducts ongoing research to develop a pipeline of prospects and to prioritize the best prospects for cultivation and solicitation.
Essential Functions
- Serve as the architect of the grant calendar, ensuring accurate, timely, and compelling proposal submissions, deliverables and reports.
- Prepare letters of inquiry, proposals, reports, and budgets for current and prospective institutional funders, using the Tessitura database to document and track all activities.
- Manage a portfolio of institutional funders. Meet with program officers across an assortment of foundations (including corporate foundations) to determine needs and fit.
- Manage the delivery of all funder benefits, including interim and final reports, coordinating with colleagues in other departments to ensure timely and accurate fulfillment.
- Create and implement systems for ongoing stewardship of institutional funders.
- Work closely with Development department colleagues to identify and research prospective institutional donors for all programs.
- Monitor the Institutional Giving budget, including monthly, quarterly and annual reconciliation of budget transactions.
- Manage the disbursement, tracking, and pledge payment needs for the Institutional Giving team. Ensure gifts are booked accurately.
- Prepare and submit acknowledgments, funder briefs for senior leadership, and monthly and quarterly revenue reports.
Education/Experience
- Bachelor’s degree or equivalent.
- Minimum of three(3) years of experience in grant writing at a nonprofit organization, including demonstrable experience writing corporate, foundation, and government proposals and reports.
- Knowledge of fundraising best practices and experience using a CRM platform. Experience with Tessitura a plus.
- Appreciation of orchestral music and performing arts and an understanding of the role of performing arts organizations in community life are important.
Knowledge/Skills/Abilities
- Strong organizational skills, including the ability to manage multiple projects simultaneously while adhering to strict deadlines.
- Proactive self-starter with the ability to initiate and manage complex projects in collaboration with internal and external partners.
- Impeccable writing, editing, and verbal communication skills, with an emphasis on proposal and report writing for institutional funders.
- Experience closely reviewing available funder documentation (guidelines, past giving, previous reporting, interactions, etc.) to develop and implement effective cultivation, solicitation, and reporting strategies.
- Experience creating and editing budgets for use in grant proposals.
- Solid interpersonal skills and the ability to work collaboratively across the Development department and the entire organization.
- Ability to work independently in a fast-paced environment, exercise good judgement, and maintain a high degree of professionalism and confidentiality.
- Strong computer skills are required, including database management and the ability to learn new software. Experience with standard office software (Word, Excel, PowerPoint, Teams, Zoom) is required, and ideally experience with donor research platforms.
