The Talent Acquisition Operations Coordinator is responsible for supporting the day-to-day operations of the Talent Acquisition function, from recruitment through initial onboarding. This role partners closely with recruiters, hiring managers, candidates, and cross-functional teams to ensure a smooth, timely, and high-quality hiring experience.At all times, this role is expected to deliver an exceptional customer experience—both internally and externally—by providing responsive, professional, and thoughtful support that creates a positive and lasting impression of InvoiceCloud for candidates and stakeholders alike.The ideal candidate is proactive, detail-oriented, and eager to learn—someone who thrives in a fast-paced environment, is comfortable working with data and systems, and is curious about how AI and automation can improve recruiting workflows and the overall candidate experience.
Results Driven
- Coordinates and manages high-volume recruiting logistics, including phone, virtual, onsite, and presentation interviews across multiple time zones, ensuring all participants have the information and materials needed for a successful interview.
- Reviews job applicants and resumes to identify qualified candidates, supporting efficient candidate progression through each stage of the recruiting process.
- Supports onboarding and pre-employment workflows to ensure candidates move smoothly and on time from offer acceptance through start date.
- Manages multiple priorities with accuracy and urgency, consistently meeting deadlines in a fast-paced Talent Acquisition environment.
Takes Ownership
- Acts as the subject matter expert for Talent Acquisition systems—including Greenhouse Recruiting, Greenhouse Onboarding, and Brighthire—troubleshooting issues, supporting day-to-day system usage, and coordinating with vendor partners to ensure tools effectively support recruiting operations.
- Serves as a reliable operational partner to recruiters and hiring managers by proactively managing scheduling, candidate communications, and recruiting administration from start to finish.
- Delivers a consistently positive candidate experience by providing timely updates, clear instructions, and professional communication that reflects InvoiceCloud’s brand and values.
- Generates, initiates, and monitors pre-employment screenings—including background checks, drug screens, and credentialing—while keeping recruiters informed of status and next steps.
- Handles sensitive and confidential candidate information with discretion and professionalism, ensuring compliance with company policies and legal requirements.
Drives Efficiency
- Maintains accurate, timely, and compliant candidate records within the Greenhouse Applicant Tracking System, ensuring visibility and data integrity throughout the recruiting lifecycle.
- Produces recruiting reports and hiring metrics to support operational tracking, compliance, and data-informed decision-making.
- Identifies opportunities to improve Talent Acquisition processes and workflows, recommending practical enhancements that improve efficiency for recruiters, hiring managers, and candidates.

- Demonstrates curiosity and a willingness to learn by exploring how Generative AI, automation, and emerging tools can streamline recruiting coordination, data management, and candidate communication.
- Applies a data-oriented mindset to Talent Acquisition operations, using system insights and reporting to identify trends, surface issues, and support continuous improvement initiatives.
- Participates in special projects and cross-functional initiatives that help modernize Talent Acquisition operations and support scalability as the organization grows.
Requirements
- Bachelor’s degree and a minimum of 1 year of related experience, or an equivalent combination of education, training, and experience.
- Prior experience supporting Human Resources or Talent Acquisition operations strongly preferred.
- Experience working with Applicant Tracking Systems, ideally Greenhouse, and HRIS platforms such as Workday.
- Strong organizational skills with high attention to detail and comfort working with recruiting data and reports.
- Clear, professional written and verbal communication skills for engaging candidates, hiring managers, and cross-functional partners.
- Demonstrated ability to manage multiple tasks, prioritize effectively, and maintain a strong sense of urgency.
- Proactive mindset with a willingness to learn new tools, processes, and technologies, including AI-driven solutions.

Base salary is one component of total compensation. Employees may also be eligible for an annual bonus or commission. Some roles may also be eligible for overtime pay. The above represents the expected base compensation range for this job requisition.
