JOB SUMMARY:
The Project Manager is responsible for planning, coordinating, and delivering internal departmental work and cross-functional initiatives across Marketing and Buying & Planning. This role owns timelines, dependencies, execution visibility, and meeting facilitation for recurring tasks (such as promotions, pricing cycles, and planning cadences) as well as project-based initiatives (including launches and campaigns). The Project Manager facilitates productive cross-department discussions, ensures clear decisions and next steps, and provides leadership with consistent visibility into progress, risks, and constraints.
JOB DUTIES: Core duties and responsibilities include the following. Other duties may be assigned.
- Manage internal departmental projects and recurring tasks within Marketing and Buying & Planning, including promotions, pricing cycles, planning cadences, and reporting rhythms
- Accountable for utilization, maintenance, and accuracy of marketing systems: Wrike (creative task management), Smartsheet (PM tool), and Bynder (DAM).
- Develop, optimize and update standard operating procedures for recurring tasks, automating where possible
- Manage cross-functional initiatives involving Marketing, Buying & Planning, Business Development, and other partners as required
- Facilitate cross-department meetings with VPs, Directors, and functional leaders, ensuring meetings are well-structured, focused, and outcome-driven
- Prepare and distribute pre-meeting agendas outlining objectives, required inputs, and decisions needed
- Capture decisions, action items, owners, and timelines, and distribute clear post-meeting recap communications
- Maintain accurate and up-to-date project plans, task tracking, and follow-ups within the designated PM tools
- Build and maintain project and work plans including timelines, milestones, dependencies, and deliverables
- Develop concise status updates and dashboards that provide leadership with clear visibility into progress, risks, and upcoming decision points
- Maintain visibility into ongoing operational workload versus project work to support realistic sequencing
- Proactively identify timing conflicts, capacity risks, or decision blockers and escalate to the Manager, Strategic Operations
- Reduce reactive coordination by driving clarity, accountability, and consistent execution cadence
JOB REQUIREMENTS:
- 3–5+ years of experience in a Project Manager, Program Manager, or Operations role
- Bachelor’s degree in Business, Marketing, Project Management, or related field; PMP Certification preferred.
- Proven Project Management experience overseeing concurrent projects and providing support across multiple cross-functional departments.
- Prior experience working within a Marketing team or marketing-adjacent function is strongly preferred.
- Proven experience collaborating directly with senior leaders, including VP- and Director-level stakeholders.
- Strong meeting facilitation and documentation skills with a focus on productivity and decision-making.
- Ability to drive accountability and follow-through without direct authority.
- Strong organizational and prioritization skills across multiple workstreams.
- High attention to detail and strong written communication skills.
- Comfort synthesizing complex conversations into clear next steps and updates.
- Experience using and ability to maintain clean & accurate project management tools (e.g., Smartsheet, Wrike, Asana, Monday, or similar)
- Proficiency with Microsoft 365
- Must be 21 years of age or older and be able to pass any required background checks.
