SUMMARY DESCRIPTION
- The Assistant provides comprehensive administrative and operational support to an Agent across client-facing and internal matters.
RESPONSIBILITIES
- Client & Booking Administration
- Maintain accurate artist contact records and deal memos within the booking system.
- Enter offers and all related show details into the booking system.
- Update and maintain client bios, riders, and ad mats.
- Liaise with internal teams to complete all show-related administrative tasks.
- Issue contracts for confirmed performances and track execution status.
- Follow up on unreturned contracts and flag, review, and address contract markups.
- Show & Tour Support
- Create and distribute artist itineraries as needed.
- Organize and execute tour announces and on-sales.
- Request, review, and report ticket counts for confirmed events.
- Coordinate with operations teams on client onboarding and offboarding.
- Manage work visa processes and immigration itineraries for clients.
- Financial & Accounting Coordination
- Create and issue invoices for show-related payments, including deposits and balances.
- Track unpaid deposits and balances and coordinate with accounting to ensure timely receipt and allocation of funds.
- Track, collect, and enter final settlements; notify accounting to generate artist statements.
- Coordinate with accounting to update client tax and payment information as needed.
- Administrative Support
- Set, confirm, and manage meetings; maintain the Agent’s calendar and internal artist calendars.
- Manage inbound phone calls on behalf of the Agent.
- Book business travel for the Agent as required.
- Prepare and submit expense reports.
- Take on additional tasks and responsibilities as assigned.
Requirements
- Highly organized, detail-oriented, and proactive, with the ability to manage multiple priorities in a fast-paced environment.
- Strong interest in the music and entertainment industries.
- 1–2 years of prior experience in an assistant role at a management company, record label, brand, or music agency preferred.
- Excellent written and verbal communication, presentation, and interpersonal skills.
- Demonstrated professionalism, discretion, tact, and ability to handle confidential information.
- Proven ability to meet deadlines and maintain accuracy across a large and diverse client roster.
Base salary: $47,500 plus bonus potential if applicable for role.
- Actual base salary is dependent on several factors including but not limited to; market dynamics, location and region, experience, specialized skills/training (education), level of responsibility, budgetary considerations, tenure at the company (for current employees), etc. The salary range listed is just one component of the total compensation package for employees. Compensation decisions are dependent on circumstances of each role.
