The Production Coordinator is a dynamic and challenging position responsible for assigning, scheduling, and tracking all information regarding production orders that are produced domestically as a combination of outsource partners and internal on-demand production. This requires strong attention to detail, expertise in software applications, and proactive organizational skills. The Coordinator should be comfortable handling high-volume production needs, adjusting schedules, and making quick decisions to meet business demands.The Production Coordinator will prepare the necessary details to put out orders into production using our ERP, maintain awareness of statuses, communicate updates with the Ops, QC, and FC teams, coordinate shipping and delivery as needed, and maintain statistics on production performance and delivery.The Production Coordinator will also assist in supporting the needs of the DTG department including ordering supplies if needed, advising priority changes, and working with the team to optimize orders going into production.Reports to: Director of ProductionPay Type: HourlyRate: $25/hr
Duties
- Oversee domestic outsourcing needs for screen printed production
- Make sure outsource partners have necessary information and files to produce an order
o
Create and submit outsource production orders to companies using ERP

Send processed art files from google drive
o
Send art files to graphics processing company for new orders and then send to outsourcer
- Communicate with Ops team to monitor updated needs
- Communicate with QC team to monitor quality of received goods

Track relevant data (KPIs) to report back to outsource partner
- Set up outsource partners in Grunt Style system

Advocate for payment

Request volume pricing discounts or rebates (manage B2B relationship)

- Order secondary supplies such as heat transfers for sleeves and inside tags as needed
- Verify and approve invoices from outsource vendors
Responsibilities
- Monitor all production orders for timeliness and quality
- Make sure all outsource orders are submitted to production partners in a timely manner
- Keep reporting information (KPIs) on internal DTG & outsource partners
- Provide customer service to local outsourcers
- Maintain relationships with partners ensuring invoices are accurate and paid in a timely manner
- Support Director of Production on new projects and planning

- Able to frequently move and lift up to 40 lbs when necessary

- Must comply with any company policy of wearing personal protective equipment such as hearing protection, gloves, safety glasses, etc. where required
- Must be available to work hours and days as needed based on changing schedule demands, including overtime. Schedules and shifts may change throughout the year. Schedule requirements may include working days, afternoons, nights, 1st shift, 2nd shift, or weekends as needed.
Experience
- 3-5 years of scheduling experience
- Excellent problem solving skills
- Self-starter with the ability to multitask
- Strong Communication Skills – Ability to clearly communicate with external vendors, internal teams, and leadership to ensure smooth production workflows.
- Proficiency in Data Management and Software – Highly skilled in Google Suite of apps, especially Sheets for tracking KPIs, managing order data, and maintaining production schedules. Familiarity with enterprise resource planning (ERP) systems and order processing workflows.
- Detail-Oriented and Organized – Ability to manage multiple outsourcing partners, track production timelines, and ensure compliance with deadlines and quality standards.
- Strong Writing and Documentation Skills – Ability to draft professional, cogent communications, document processes, and maintain accurate reports on outsourcing performance.
- Supply Chain and Logistics Coordination – Understanding of material shipments, order fulfillment, and managing relationships with warehouses and suppliers.
Education
- High school diploma or GED (General Education Degree)
