Position Overview


The Payroll Manager oversees all aspects of payroll administration, ensuring accurate, timely, and compliant processing across multiple states and entities. This role leads payroll operations, manages payroll reporting and reconciliation, and serves as the primary liaison between HR, Finance, and external partners. In addition to payroll oversight, the Payroll Manager will manage the accounts payable (AP) function, ensuring efficient, accurate, and compliant processing of vendor payments and expense reimbursements.

This is a hands-on role for a detail-oriented professional who can balance transactional accuracy with process improvement, system optimization, and team leadership.

What


You’ll Do


Payroll Oversight


  • Manage the end-to-end payroll process for all employees, including exempt, non-exempt, and commissioned staff, across multiple states.

  • Review and approve payroll submissions prepared by payroll staff, ensuring accuracy in wages, commissions, bonuses, deductions, and benefits.

  • Maintain and update payroll systems and records, ensuring compliance with all federal, state, and local tax regulations.

  • Oversee quarterly and annual payroll tax filings, reconciliations, and W-2/1099 preparation.

  • Partner with HR to ensure proper documentation for new hires, terminations, promotions, and compensation changes.

  • Serve as the point of contact for complex payroll issues, resolving discrepancies and addressing escalated employee inquiries.

  • Develop and maintain payroll reporting and analytics to support Finance and HR initiatives.

  • Collaborate with external auditors and respond to audit requests related to payroll and tax reporting.

Accounts Payable Oversight


  • Oversee the company’s accounts payable process, including invoice processing, vendor management, and payment execution.

  • Review and approve vendor invoices, expense reports, and ACH/wire transfers.

  • Ensure compliance with internal controls and company policies related to purchasing and disbursements.

  • Work closely with the Finance team to manage AP aging, month-end close processes, and reconciliations.

  • Identify opportunities to streamline AP processes through automation and improved workflows.

Leadership & Process Improvement


  • Supervise and mentor payroll and AP staff, providing training, guidance, and performance feedback.

  • Implement best practices for payroll and AP operations, including internal control improvements and technology optimization.

  • Partner with HR and Finance leadership to align payroll and AP policies with company growth and compliance needs.

  • Lead process improvement initiatives to increase efficiency, accuracy, and scalability of payroll and payables operations.

About You


  • 5–7 years of progressive experience in payroll administration, with at least 2 years in a supervisory or management capacity.

  • Bachelor’s degree in Accounting, Finance, Business Administration, or related field.

  • Strong understanding of multi-state payroll regulations and labor laws.

  • Demonstrated experience managing payroll systems (e.g., CBIZ, ADP, Paylocity, or similar).

  • Solid understanding of accounts payable processes and financial controls.

  • Highly proficient in Microsoft Excel and comfortable with accounting systems and reporting tools.

  • Strong analytical and problem-solving skills, with the ability to interpret data and drive solutions.

  • Excellent communication and interpersonal skills; able to work effectively across departments.

  • Proven ability to maintain confidentiality and handle sensitive information with discretion.

  • Certified Payroll Professional (CPP) certification strongly preferred.
