POSITION OVERVIEW


The Office Coordinator and Sales Support Administrator are charged with supporting our Sales, Service and Parts Departments with general administrative support as well as maintaining positive interactions with our customers. This person will be a valuable resource to our team, fulfilling regular daily functions while also providing general assistance where needed. This broad exposure to all areas of the operations will expand this person’s knowledge and prepare them for future career goals while helping the team work together to achieve the common goals.

DUTIES & RESPONSIBILITIES


General Office / Cashier Support


  • Operate a multi-line telephone system to answer incoming calls and direct callers to appropriate personnel.
  • Handle all incoming cash, check and credit card transactions for payment.
  • Sort and distribute incoming and outgoing mail, including FedEx/UPS and interoffice deliveries.
  • Reconcile cash boxes and prepare daily cash sheet. Post daily deposits and manage the cash schedule.
  • Create purchase orders for all departments as needed.
  • Maintain office supplies, break room stock and replenishment orders.
  • Coordinate and address any building related maintenance, repairs, cleaning and landscaping.

Sales/Service/Parts Department Support


  • Enter customer and deal information into CRM/DMS.
  • Manage vehicle licensing and title work. Coordinate vehicle delivery paperwork and customer orientation packets.
  • Assist with service scheduling overflow (calls, confirmations, follow-ups).
  • Provide assistance with inventory cycle counts, inventory reports and the tracking and facilitation of parts returns with vendors and customers.
  • Help coordinate deliveries with drivers (routing and paperwork preparation).
  • Assist with a variety of audits (factory, warranty, financial, flooring, etc.).
  • Provide daily support to our internal operations team through email, phone and in-person communications. Answer questions and assist with trouble shooting as needed.
  • Update existing policies and procedures as we enhance our processes with best practices and enhanced reports/activities for increased effectiveness and efficiency.        
  • Ensure we exceed our internal and external customers’ expectations by providing superior customer service.
  • Other responsibilities as assigned.

KNOWLEDGE REQUIREMENTS AND QUALIFICATIONS


  • High school diploma or GED.
  • 5+ years dealership / office management / other relevant experience.
  • Positive attitude with a focus on taking care of our customers.
  • Maintains a professional appearance and atmosphere in the office.
  • Self-motivated individual contributor who is also a team player.
  • Independent thinker with a strong sense of accountability for self and team.
  • Strong organizational skills with great attention to detail. 
  • Natural problem solver with a self-starter mind set.
  • Eagerness to improve processes and procedures.
  • Proficient with Microsoft Office Applications, specifically Excel, Word and Outlook.
  • Strong oral and written communication skills.
  • Ability to multi-task in a fast-paced environment.
  • Proven ability to meet deadlines and follow-up on pending issues.

We are located at 61 NE Columbia Blvd in Portland, OR
  • This is an in person / on site role. We are not offering remote work at this time
  • This is a full-time, hourly position paying $25-$35 per hour, DOE
