Body Shop Administrator – Semi Truck Collision

We’re a busy semi-truck collision and repair shop in Mount Vernon, WA, looking for a motivated and organized Body Shop Administrator to join our team. The ideal candidate is detail-oriented, proactive, and thrives in a fast-paced environment. Key Responsibilities
- Schedule repairs and manage shop workflow
- Communicate directly with customers and insurance adjusters
- Order, track, and organize parts and supplies
- Generate and process purchase orders
- Audit invoices for accuracy
- Dispatch jobs to technicians and open repair orders
- Create estimates and prepare customer invoices
- Run reports as needed to support shop operations
- Drive company vehicles to pick up or deliver parts (including long distances or in heavy traffic)
- Operate a forklift (training provided if not certified)
- Maintain organized parts storage and tracking for incoming repairs
- Work independently and prioritize tasks efficiently
Qualifications
- Excellent communication and customer service skills (in person and over the phone)
- Proficient with Microsoft Office (especially Excel)
- Experience working with insurance adjusters preferred
- Strong organizational skills and ability to multitask
- Self-motivated and able to manage time effectively
- Valid driver’s license and clean driving record required
- Forklift experience a plus (will train if needed)
