Role Overview
The Office Admin Manager is responsible for overseeing the smooth functioning of day-to-day administrative operations within the organization. This includes office management, facilities coordination, vendor management, employee transportation, and overall administrative support to staff—ensuring an efficient, safe, and positive workplace environment.
Key Responsibilities
- Manage and supervise the day-to-day      operations of the office, ensuring seamless workflow and adherence to      company policies.
- Oversee employee transportation services,      including vendor coordination, route planning, safety compliance,      scheduling, and cost optimization.
- Ensure timely and safe commute facilities      for employees while addressing service quality and grievance redressal.
- Oversee facilities management including      office supplies, maintenance, housekeeping, security, and IT coordination.
- Develop and implement office policies,      procedures, and standards to improve efficiency and cost-effectiveness.
- Manage vendor relationships, contracts,      and negotiations (transportation, facilities, travel, supplies, catering,      etc.).
- Handle hotel bookings and relationships      with vendors to support business travel, employee relocation, and      corporate events.
- Handle office budgets, expense tracking,      and ensure cost optimization across admin functions.
- Support HR with onboarding logistics,      employee engagement activities, and compliance-related documentation.
- Ensure adherence to health, safety, and      regulatory requirements within the workplace and for transportation      services.
- Organize meetings, company events, and      travel arrangements for staff and leadership.
- Serve as a point of contact for leadership      and employees on all administration and transport-related matters.
Qualifications & Skills
- Bachelor’s degree in business      administration, Management, or related field (Master’s preferred).
- Proven experience (5–10 years) in office      administration, facilities management, or transportation management.
- Strong organizational and multitasking      skills with attention to detail.
- Excellent communication and interpersonal      abilities.
- Proficiency in MS Office Suite and office      management tools.
- Knowledge of budgeting, vendor, and      fleet/transportation management.
- Problem-solving mindset with the ability      to handle confidential information discreetly.
