Position Overview
We’re seeking a highly organized, proactive Executive Assistant to support our executive leadership (CEO/COO/CFO). You will manage complex calendars across time zones, coordinate communications, and ensure preparation and follow-through for meetings, travel, and strategic initiatives. This role requires excellent judgment, discretion, and the ability to thrive in a fast-paced, tech-services environment.
Work Hours:
Full-time, with consistent overlap with US time zones (minimum 4 hours daily).
Key Responsibilities
- Calendar & Inbox Ownership: Plan, prioritize, and safeguard executive time; coordinate internal/external meetings; anticipate conflicts; triage emails with clear next steps.
- Meeting Ops: Prepare agendas, briefs, and decks; capture minutes and track action items to completion.
- Travel & Expenses: Arrange domestic/international travel, visas, lodging, and itineraries; process expense reports; optimize cost and time.
- Documentation & Reporting: Draft and format correspondence, reports, and presentations; maintain executive files and SOPs.
- Cross-functional Liaison: Coordinate with Delivery, Sales, People/HR, and Finance; interface with clients and partners on behalf of executives.
- Project Support: Light project management (timelines, checklists, follow-ups) using Asana/Trello/Notion; track deadlines and status.
- Events & Logistics: Coordinate offsites, all-hands, and vendor relationships.
- HR/Recruiting Support (as needed): Interview scheduling, onboarding coordination, and access requests.
- Confidentiality: Handle sensitive information with absolute discretion and professionalism.
Qualifications
- 3+ years as Executive Assistant or similar supporting senior leadership (tech/services preferred).
- Advanced English (C1) — excellent written and verbal communication.
- Expert with Microsoft 365 (Outlook/Teams/Word/Excel/PowerPoint); familiarity with Asana/Trello/Notion; plus: ATS (Breezy), e-signature, and expense tools.
- Strong prioritization, time management, and stakeholder communication.
- High ownership, attention to detail, and problem-solving.
- Bachelor’s degree preferred.
