You will lead a team of facilities staff and work closely with internal stakeholders to support the needs of the organization.
Job Duties
- Facilities Management:
- Oversee the day-to-day operations of the facilities, including maintenance, repairs, and improvements.
- Develop and implement preventive maintenance programs to ensure the ongoing functionality of building systems and equipment.
- Coordinate with external vendors and contractors for facility repairs, renovations, and upgrades.
- Conduct regular inspections of the facilities to identify maintenance needs and safety hazards.
Safety and Compliance:
- Ensure compliance with all relevant health, safety, and environmental regulations and standards.
- Develop and implement safety protocols and procedures to mitigate risks and promote a safe working environment.
- Conduct safety training and drills for employees and maintain emergency response plans.
- Investigate accidents, incidents, and near-misses, and implement corrective actions as needed.
Space Planning and Management:
- Collaborate with department heads to understand space requirements and plan for office layout and utilization.
- Manage office moves, relocations, and space allocations to accommodate organizational needs.
- Maintain accurate records of space inventory, allocations, and utilization.
Vendor Management and Budgeting:
- Manage vendor relationships and contracts for facilities-related services, including janitorial, security, and landscaping.
- Negotiate contracts, monitor service levels, and ensure cost-effective solutions.
- Develop and manage the facilities budget, including forecasting and expense tracking.
Team Leadership and Development:
- Lead and mentor facilities staff, providing guidance, training, and performance feedback.
- Foster a collaborative and positive work environment, encouraging teamwork and continuous improvement.
- Identify opportunities for skills development and career advancement for team members.
Requirements
- 5+ years of experience in facilities management or a related role
- Strong knowledge of building systems and maintenance best practices.
- Familiarity with health, safety, and environmental regulations and standards.
- Excellent leadership and communication skills, with the ability to interact effectively with internal stakeholders and external vendors.
- Proven ability to manage multiple priorities in a fast-paced environment and deliver results.
- Strong problem-solving and decision-making abilities, with a focus on continuous improvement.
- Proficiency in Microsoft Office Suite and facilities management software.
Preferred:
- Bachelor’s degree in Facilities Management, Business Administration, or related field preferred.
- Relevant certifications (e.g., Certified Facility Manager, Facilities Management Professional, etc.) are desirable.
