Sr. Workplace Experience Manager

Pendo’s Workplace Experience team has an opening for a Sr. Workplace Experience Manager. This is a fixed term, 12-month contract role that will sit out of our London office.

We care about all the little things that can turn a good day into an amazing day, and we’re looking for someone who shares our passion for details.In this role, you will ensure that Pendo's London office runs smoothly, provide a welcoming and professional experience for employees and visitors, and play a key part in managing the facilities of our building.

The best candidates will thrive in a fast-paced environment, adapt to change gracefully, proactively seek improvements, obsess over small details while seeing the big picture, and bring a sense of humour to their work. This position is based in our London, UK office.

Role Responsibilities


  • Office Experience & Guest Liaison
  • Maintain office spaces: stock and organise snacks, coffee, and supplies; reset meeting rooms; ensure cleanliness and order throughout the office.
  • Welcome and host guests upon arrival at the building’s security front desk, ensuring they have a professional and friendly first impression of Pendo.
  • Order and manage office inventory, including supplies and equipment.
  • Arrange office catering for meetings, events, and team lunches.
  • Lead office communications to ensure employees are up to date on office operations.
  • Plan and coordinate office events, including executive and customer meetings, team-building activities, community events, and assist with hosting Pendo sales & product events.
  • Manage the UK office experience budget, ensuring accurate and cost-effective use of resources.
  • Oversee courier deliveries and shipments (domestic and international).
  • Facilities & Vendor Management
  • Liaise with building management company, landlords, and contractors on maintenance, repairs, and compliance with building requirements.
  • Manage vendor contracts and relationships to ensure prompt, reliable, and cost-effective services.
  • Proactively monitor facilities needs (safety checks, equipment, compliance) to maintain a safe and welcoming workplace.
  • Global Collaboration
  • Partner with Pendo’s global office experience team to align on standards, processes, and culture.
  • Contribute to company-wide initiatives that improve the overall employee and visitor experience.

Minimum Qualifications


  • Minimum of five (5) years of experience in office administration or similar equivalent
  • Customer service skills, proactive mindset, and professional demeanor
  • Knowledge of office operations, facilities management, and event facilitation
  • Experience with current office software systems including G-Suite, Slack, Monday.com, ZIP, or similar software
  • Knowledge of global office management best practices

  • Experience in a startup or a high-growth, demanding work environment
  • Self-starter with a strong sense of independence and the ability to self-manage
  • Ability to be resourceful, proactive, efficient, and innovative when issues arise
  • Ability to handle and prioritize multiple tasks in a time-sensitive, fast-paced environment with speed and grace under pressure
  • The willingness and ability to learn new things quickly and respond to feedback
  • Work effectively within a variety of situations, individuals and groups applying the 'whatever it takes' attitude
