Payroll Coordinator – West Coast Region
The Payroll Coordinator is responsible for managing all payroll-related functions to ensure accuracy, compliance, and efficiency in the payroll process. This role includes processing payroll, maintaining employee data, and providing timely support for payroll-related questions. The Payroll Coordinator partners closely with Human Resources and reports directly to the Payroll Manager.
Key Responsibilities
- Process and reconcile bi-weekly payroll for multiple pay groups usingUltimate Kronos Group (UKG), formerly UltiPro.
- Maintain payroll records with up-to-date employee information (e.g., pay rates, W-4 status, benefits, contact information).
- Audit timekeeping systems and employee data to ensure accuracy and integrity.
- Provide quality support to hotel management regarding time entry, payroll processing, tax-related issues, and general payroll inquiries.
- Prepare and verify payroll reports for accuracy prior to submission.
- Collect and maintain backup documentation for retention and auditing purposes.
- Stay current with timekeeping laws and regulations, with afocus on West Coast requirements, particularly California labor laws(e.g., overtime, meal/rest breaks, PFML, FMLA, and supplemental benefits).
- Serve as a liaison between assigned properties and the Human Resources department.
- Handle additional payroll-related tasks and duties as requested by management.
Qualifications
- 3+ years of hands-on payroll experience, preferably within a multi-location or multi-pay group environment.
- Experience withUKG (UltiPro)strongly preferred; other payroll systems experience also considered.
- Strong knowledge ofCalifornia and West Coast labor lawsand payroll compliance requirements.
- High attention to detail with strong organizational and problem-solving skills.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Excellent communication and interpersonal skills; able to collaborate effectively with team members and external vendors.
- Demonstrate ability to work independently and manage multiple priorities in a fast-paced environment.
