PURPOSE:


The Registry Coordinator will work closely with our Smith Chason College students and graduates, along with the Education, Externship and Career Services teams, to ensure students and graduates are knowledgeable and prepared for their licensure and certification exams. In this role, the Registry Coordinator will also focus on student/graduate licensure and certification tracking and campus outcomes, to help to ensure the success of the school’s graduates and programs. 

OVERALL RESPONSIBILITIES:


  • Provides students and graduates assistance in completing steps needed to apply, along with assisting with necessary documentation to apply for the ARDMS, CCI, ARMRIT, CPTR, and ARRT exams. This may include assisting with documentation from the Program Directors or Education team or connecting students/graduates with the Registrar for official transcripts, diplomas, etc. as necessary.
  • Assist extern students each quarter in aspects of preparing to apply for their registry exams. Connects with students and provides support, motivation and information to ensure a smooth application process. Follows up to ensure all needs are met.
  • Works aside the Education team to provide students and graduates with the ARDMS and CCI program letters for licensure purposes, both on a quarterly basis and ongoing as students and graduates connect for assistance.
  • Connects ARRT and CPTR applicants with their Program Director/Education team for ARRT verification/status update assistance, as needed. 
  • Understand pathways for licensure and pathways available for students and graduates. Provides students and graduates assistance by sharing program pathways for licensure/certification with students each quarter while on externship, as well as with active students and graduates to educate them on pathways. In this role, the Registry Coordinator will help students and graduates to understand their pathways.
  • In this role, the coordinator will also help Smith Chason College Education team and staff to learn and understand the licensure processes and support the Education team with student/graduate communication, as needed.
  • Provide support as the main contact for the campus for current students and graduates for signing up for their registry exams. Assisting with answering general questions regarding the applications, exams, and registry bodies. Refer students and graduates to the Program Directors, when needed.
  • Provides quarterly communication updates and instructions to students while on Externship, to prepare for upcoming licensure processes as they become eligible to apply.
  • When necessary, work with the Education team/Program Directors, Externship team, or Campus Director and Director of Education to help students/graduates with Program Director or Education specific assistance (questions regarding hours, program specifics, etc.)
  • Updates the tracking details within our tracking systems/SharePoint trackers for the ARDMS, ARRT, CPTR, ARMRIT, and CCI exams results. Tracks and shares the internal licensure rates of the registry tests with Campus Leadership, as well as Education, Career Services and the Externship Department. This should be done ongoing, and reviewed each quarter, with results then shared with the campus afterward.
  • Connects with students and graduates on an ongoing basis to get updated testing dates, statuses, and other vital information for tracking school licensure and certification statistics. Updates in internal tracking system, along with trackers.
  • Assists with the payment process for the campus, by collecting payment details and following up with students/graduates. Is aware of the school’s payment processes and is able to help to submit weekly payments for the school when needed.
  • Works hand in hand with the Education team and campus Leadership teams to set up licensure/certificate reviews. Works alongside the Student Services, Externship department and the Career Services Departments in providing information and dates schedules for registry reviews and helping students and graduates to sign up.
  • Updates the Campus Leadership team and all relevant departments, when needed, of any important updates or changes, to ensure the highest level of communication across the campus regarding the registry exam details.
  • Ensures that students and graduates are motivated to apply for their licensure exams.
  • Assists the Career Services team with connecting with graduates that may need licensure, to aid in the goal of getting graduates licensed and employed in their fields of study.
  • Assists the Education and Leadership team with projects and goals related to ARDMS, ARRT, ARMRIT, and CCI.
  • Works with the Education team on projects for focuses such as the ARDMS SPI, to include, but not limited to tracking SPI Exam data and student progress and ensuring that students are prepared and certified with their ARDMS SPI certification prior to starting externship. 
  • Supports the College’s competency review and verification policy and process via working directly with Program Directors and Externship staff to track required competency documentation and ensure all student competencies have been achieved and documented prior to graduation. 
  • Other duties as assigned by Regional Registry Manager

EDUCATION / QUALIFICATIONS / COMPETENCIES:


A minimum of an associate's degree is required. At least two years of experience within the higher education industry required. Experience in the Imaging Field, Career Services, or Externship is a bonus.Understanding of ACCSC (or similar accrediting body) guidelines is preferred.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) required.Experience in using software such as Campus Vue or Orbund a bonus.Excellent verbal and written communication skills; must maintain professionalism and uphold Smith Chason College’s highest standards with students and graduates.Strong time management, coordination, and planning abilities. A proactive attitude and the ability to take initiative are essential.
