Executive Assistant to Medical Affairs (MA)

Position Summary:


The Executive Assistant for MA plays a key role both as a department assistant and creative collaborator. This role includes, but goes beyond, traditional administrative duties. The primary focus is to orchestrate the scheduling of clinical education for our clients, seamlessly managing several schedules/calendars and logistics for the MA team, while also contributing to the success of our podcast by helping to schedule engaging guests. With a balance of organization, professionalism, and creative energy, this role helps ensure smooth operations and meaningful education to advance Genova’s mission.

Essential Duties and Responsibilities:


Responsibilities include but are not limited to the following:

Technical


  • Provide support services, both clerical and non-clerical.
  • Scheduling and Calendaring calls and consultations for the MA team.
  • Assist in organizing and developing the Clinical Research Program in MA.
  • Organize events for MA & Laboratory Staff large and small.
  • Coordinate logistics including booking venues and caterers.
  • Coordinate responses to in-house questions.
  • Screen phone calls to take and relay messages.
  • Schedule meetings and appointments. Maintain multiple calendars.
  • Book, coordinate and maintain travel itineraries.
  • Keep track of mileage and business expense vouchers
  • Maintain ongoing departmental metrics
  • Task sales team members in follow up to MA events when appropriate

Other


  • Bring positive energy and creativity to curating our podcast lineup – scheduling, recruiting, and engaging dynamic guests while helping us cultivate strong relationships with thought leaders, experts, and influencers
  • Handle any other special projects or requests as made.
  • She/he also works closely with the Medical Affairs Group, other executives, management team, commercial/sales team, and supervisors and interacts frequently with other members of the Genova staff. Also has contact with many executives, physicians, and researchers external to Genova.
  • Other duties as assigned.
