Our work supports cities, states, and federal agencies while enabling private industry to thrive in the emerging drone economy.We’re looking for a detail-oriented Proposal Coordinator to join our Grants & Proposals team. This role will play a critical part in supporting the sales and business development process by supporting RFP responses, maintaining content libraries, and coordinating proposal deliverables. 

Key Responsibilities


Research & Tracking


-Conduct daily RFX research, including identifying relevant federal, state, and local opportunities. -Create and maintain a Master Grant Funding Spreadsheet with recurring DHS, DOJ, DOT, and DOD opportunities. -Perform additional research on relevant agencies, associations, and opportunities. -Manage government procurement portal registrations, including updates to an internal procurrent portal board.

Content Management


-Maintain and update the proposal content library with new narrative resources, ensuring content is easy to locate. -Create and update team resumes, feature lists, and proposal-ready resources. -Support the development of visual proposal assets such as project org charts, Gantt charts, infographics, and screenshots.

Proposal Support


-Assist the sales team with proposal editing and formatting using established templates. -Prepare and complete standardized vendor forms for new vendor set-up or renewals. -Develop and organize RFP response materials, including: response outlines, document templates, pre-populated standard content -Coordinate proposal-related administrative tasks, including filling standard forms, routing for signatures, and downloading addenda. -Track proposal deadlines, set up calendar reminders, and ensure on-time submissions. -Ensure all proposal content is professionally formatted, accurate, and compliant with submission requirements.

Position Type:

Requirements

  • Bachelor’s degree in Business, Communications, English, or related field, or equivalent experience. 
  • 1–3 years of experience in proposal coordination, business development support, or grants management preferred. 
  • Strong organizational and project management skills with the ability to manage multiple deadlines. 
  • Excellent written communication skills and attention to detail. 
  • Proficiency with Microsoft Office Suite; experience with tools such as Monday.com, Keeper, and government procurement portals is a plus. 
  • Ability to collaborate across departments and thrive in a fast-paced startup environment. 

Life at Airspace Link

The rapid growth of the drone industry has outpaced the development of rules and systems to govern their use. The limited ability for citizens and businesses to know where they can safely fly or conduct complex flights are restricted by fragmented, non-existing data and systems for managing local government airspace. The Federal Aviation Administration (FAA) is seeking partners to integrate drones safely into controlled airspace while making air and ground based safety a number one priority before it lifts the restrictive flight rules currently in place. The Airspace Link platform is an all-in-one FAA-certified, cloud-based platform simultaneously connecting all constituents involved in legally flying a drone. State & local governments use the Airspace Link portal to define areas of risk, special ordinance and event restrictions within the community. Drone pilots plan and submit operations to the FAA through Airspace Link, enabling faster approvals and a stronger mitigation plans for complex flights (BVLOS, inspection, package delivery). With the combined data, Airspace Link is building new drone airspace infrastructure (similar to toll roads).
