Why This Role Matters:


This position provides a broad range of high-level administrative assistance to the Chief Operating Officer (COO), Group1001. and their leadership team. The successful candidate will manage complex administrative and office management responsibilities, including preparing reports, maintaining schedules, coordinating meetings, making travel arrangements, submitting expenses, document management, and other related duties as assigned. This role requires superior organizational skills, the ability to handle all levels of management, and the capacity to manage multiple responsibilities concurrently in a dynamic, fast-paced, and fast-growing environment.

The ideal candidate will work independently, manage conflicting demands, and consistently demonstrate a proactive approach.

How You'll Contribute:


  • Coordinate daily calendar schedules for the COO, and assigned team members.
  • Provide comprehensive administrative support, including scheduling, meeting coordination, material preparation, travel arrangements, expense reporting, processing invoices, and general administrative tasks.
  • Schedule a wide variety of activities (appointments, meetings, travel reservations/accommodations, facility usage) for internal and external stakeholders.
  • Coordinate meetings and events, including securing space, arranging refreshments, preparing materials, and confirming participant reservations and attendance.
  • Schedule and send meeting invites for the COO’s various meetings, such as roundtables, townhalls, and other large gatherings.
  • Prepare a variety of documents, including correspondence, agendas, minutes, event programs, and reports.
  • Respond promptly to all incoming inquiries, analyze staff and client needs, and recommend solutions using excellent judgment.
  • Support various professional employees with administrative duties.
  • Collaborate closely with other Administrative Assistants, Executive Technology support, Marketing, and members of the Operations Leadership Team.
  • Manage all administrative tasks and various projects as they arise, always preempting needs, requirements, and proactively determining the next steps.
  • Demonstrate accountability in all responsibilities while actively contributing innovative ideas and process improvements to enhance team effectiveness and operational efficiency.
  • Partner with the Group1001 Operations Chief of Staff to implement programs critical to the success of the Operations COO and their division.

What We're Looking For:


  • At least 10+ years of experience as an administrative assistant or in a comparable position.
  • Proficiency in Outlook, Excel, Word, PowerPoint, SharePoint, and other communication tools, as well as experience with expense management software and data share sites.
  • Highly organized, precise, proactive, and capable of multitasking.
  • Understands the importance of deadlines and discretion in dealing with sensitive issues.
  • Able to balance competing priorities.
  • Capable of developing and maintaining effective working relationships with a broad constituency.
  • Possesses sound judgment.
  • Excellent oral and written communication skills.
  • This is a hybrid position based at the Corporate office in Zionsville, IN
