Accounts Payable Specialist
Full-Time | In-Office | Ann Arbor, MI
Overview and Role:
For over sixty years, Shar Music has supported musicians, educators, and orchestras with quality instruments and dedicated service. We are seeking a detail-oriented Accounts Payable Specialist to manage invoices, process payments, and maintain accurate records that keep our financial operations running smoothly.
Essential Duties & Responsibilities
- Prepare weekly accounts payable (A/P) forecast reports, including upcoming invoices, recurring expenses, historical payment trends, and expected obligations.
- Enter and process vendor invoices accurately, ensuring proper coding, purchase order matching, and timely approval.
- Maintain consistent communication with vendors regarding invoice receipt, payment terms, and issue resolution.
- Prepare and process weekly payments (checks, ACH, wires) in accordance with vendor terms.
- Reconcile bank and credit card statements, investigating and resolving discrepancies.
- Post journal entries related to A/P and maintain accurate financial records.
- Support month-end and year-end closing with A/P reports, reconciliations, and accruals.
- Ensure compliance with established standard operating procedures (SOPs) for payment processing and vendor onboarding.
- Assist with internal and external audits by providing reports and supporting documentation.
- Manage and file digital and physical records for invoices, contracts, and compliance documentation.
- Process employee expense reports and tax exemption certificates.
- Provide administrative support to the accounting department as needed.
- Adhere to performance standards and KPIs to maintain accuracy and efficiency.
- Perform other duties as assigned.
Desired Qualifications
- High school diploma or equivalent required; bachelor’s degree in Accounting, Business Administration, or related field preferred.
- 2–3 years of experience in accounts payable or general accounting preferred.
- Proficient in Microsoft Office Suite (especially Excel)
- Familiar with accounting software (e.g., NetSuite, QuickBooks).
- Strong attention to detail, accuracy, and organizational skills.
- Effective written and verbal communication skills for working with vendors and internal teams.
- Ability to manage multiple priorities, work independently, and collaborate within a team.
