Office/HR Case ManagerPOSITION DESCRIPTIONTitle: Office/HR Case ManagerClassification: Management, ExemptLocation: Killeen, TXReports to: InspiriTec Director of HR and Case ManagementThe Office/HR Case Manager is responsible for developing and operating InspiriTec’s TX location and facility. This person is responsible for first, serving as the on-the ground coordinator for assisting in the acquiring and fitting out InspiriTec’s TX office facility. One once established, the position is responsible for coordinating the staffing and implementation of policies and procedures ranging from staff recruitment and selection, coordination with project managers, performance monitoring and delivery of employee support services (case management).

The position also requires developing and maintaining relationships with key vendors and partners.Specific duties include:I . Facility Development and Management• On site Coordinating with leasing agent• Working with InspiriTec management to negotiate lease• Work with InspiriTec management and local vendors for site fit outII. Office Management• Answering telephone calls and emails from customers and clients and directing them to relevant staff• Creating an office budget and ensuring all employees follow it• Monitoring office supplies and ordering new stationery, furniture, appliances and electronics as required• Interviewing and training new office employees and organizing their employment paperwork• Organizing maintenance companies to keep the office clean and safe and ensure its appliances are in good working order• Reporting office progress to senior management and working with them to improve office operations and proceduresIII.

Recruitment and selection• Work with call center management to develop the overall staffing plan for projects run from the TX facility• Identify and document the tasks and requirements for each call center position• Collaborate with local disability referral sources to ensure a steady flow of qualified candidates and provide consistent feedback to referral counselors• Develop and implement a structured assessment process with an emphasis on customer service aptitude and computer skills.• With other staff, conduct formal interviewing and computer-based assessment tools as required to most effectively identify the right candidates for the job• Identify requirements for job accommodations and development individual employment plans as necessary• Oversee background checksIV.

Employee Support and Training• Provide integrated job coaching on case by case basis beginning during an employee's training phase• Collaborate with InspiriTec's training manager in the design and delivery of all training programs to ensure employee needs are met and performance measurements can be achieved• Provide supports as necessary to overcome employee barriers to employment as a result of their disability.• Maintain confidential employee record• Direct and design employment policies and programs aimed at helping employee achieve project performance requirements• Serve as an advocate for each employee as they interface, network and communicate with outside referral agencies and community resources.• Reviews and/or revises policies or program to ensure compliance with state use laws and other employer state or federal regulations.• Plan and implement incentive programs to recognize employee achievement.• Develop employee action plans and timeline for corrective action as needed.• Maintain harmony among co – workers and resolve grievances.V.

Administrative Tasks• Ensure qualification of individuals under the AbilityOne program and maintain up to date initial and annual eligibility evaluations alongside corresponding medical records at all times; ensure confidentiality of records at all times.• Utilize current methods and develop additional procedures, instruments, and techniques necessary for the provision of individual and group social service including the use of computer systems.• Maintain contact and positive relationships with liaison counselors and agencies that provide accommodations.• Expand and maintain a resource library of literature on available disability-related services for individuals and professional within the community, including military specific resources.• Engage in program evaluation by keeping accurate and appropriate records.Skills and Experiences:• Two years’ experience in office management, human resources, social services, counseling, or related field.• Familiarity with Killeen and Austin area community resources.• Strong writing and documentation skills• Experience working in customer service or a related industry.• Knowledge of case management practices such as client (employee) assessment, client counseling, barrier assessment and mitigation, and career development.• Strong verbal and written communication skills• Sound decision-making abilities and excellent organizational skills• Ability to effectively relate to others and to work as part of a team• Multi-tasking ability and strong organization skills• Flexible attitude to work and ability to work non-routine hours• Computer competencies in MS Office: Word, Excel, Case Management/Client Tracking software• Bachelor's degree in social work, HR, or related field.EEO/Disability/Veterans
