EXECUTIVE ASSISTANT


Based onsite at Rocket Lab's headquarters in Long Beach, California the Executive Assistant is responsible for complex calendar management and scheduling of internal and external meetings across multiple time zones, handling expenses, multi-tasking during ad hoc projects, preparing documentations for meetings, assisting with presentations and variety of other day-to-day administrative tasks.This is an exciting role that requires superior attention to detail, great organization and prioritization skills and the ability to plan ahead and to meet tight deadlines, all while juggling multiple critical requests.

This role will support the Executive leadership team, with deliverables required for internal leadership, board of directors, and investors.

WHAT YOU'LL GET TO DO:


  • Support managing calendars, preparing for presentations, company meetings and other key events.
  • Plan travel itineraries and make travel arrangements both domestically and internationally, including reservations for events and dining as needed.
  • Assist in organizing, and execution of meetings, conferences, and off-site events.
  • Reconcile and prepare expense reports.
  • Document and distribute meeting minutes and action items.
  • Greet guests and assist with special projects relating to guest/visitors.
  • Responsible for replenishing office supplies
  • Other duties as assigned.

YOU'LL BRING THESE QUALIFICATIONS:


  • Associate's degree 
  • 2+ years of administrative / executive support experience, 
  • Expertise in Microsoft Office Suite (Word, Excel, Outlook, and other)

THESE QUALIFICATION WOULD BE NICE TO HAVE:


  • Bachelor’s Degree 
  • Experience in a fast-paced, corporate environment.
  • Maintains high level of integrity and discretion.
  • Outstanding writing and verbal communications skills
  • Excellent organization, planning, time management, and problem-solving skills
  • Highly motivated and able to work effectively with minimal supervision.

ADDITIONAL REQUIREMENTS


  • Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and the ability to focus.   
  • Regularly required to sit, use hands and fingers, operate computer keyboard and controls, and communicate verbally and in writing.  
  • Must be physically able to commute to buildings 
  • Occasional exposure to dust, fumes and moderate levels of noise.
