Our headquarters is a bustling hub, and we are looking for a professional, friendly, and organized Front Desk Receptionist to manage the front office operations and create a welcoming atmosphere for our team and visitors.

Job Summary


We are seeking a Front Desk Receptionist for our HQ who will be the first point of contact for visitors and staff. The ideal candidate is highly organized, reliable, and can manage multiple tasks, including office supplies management, conference room scheduling, mail coordination, and other essential front office tasks. This is a fully in-person role, and the candidate should be comfortable working in a fast-paced environment and handling responsibilities that require physical activity.

Key Responsibilities


  • Front Desk Management: Greet and welcome visitors, handle incoming calls, and provide general administrative support to staff and guests.
  • Office Supplies and Snack Management: Order and maintain inventory of office supplies, snacks, and beverages for the office, ensuring stock levels are maintained and reorders are placed in a timely manner.
  • Catering and Event Support: Assist with placing and coordinating catering orders for meetings and office events. Help with setting up conference rooms and managing reservations for internal meetings.
  • Mail Coordination: Handle incoming and outgoing mail, packages, and deliveries, ensuring timely distribution and coordination with shipping services.
  • Office Opening and Closing: Assist with the daily opening and closing of the office, ensuring all equipment and facilities are secure and operational.
  • Conference Room Management: Coordinate reservations for conference rooms and ensure they are set up with the necessary equipment and supplies.
  • Physical Tasks: Ability to lift up to 50 lbs, assisting with office supply deliveries, furniture rearrangement, and occasional event setup as required.
  • Other Duties as Assigned: Support other administrative and operational tasks as assigned by the Operations Team.

Qualifications


  • High school diploma or equivalent (associate's degree or administrative certifications preferred).
  • 1-2 years of experience in an administrative or receptionist role, preferably in a corporate or professional services environment.
  • Strong communication and interpersonal skills, with a friendly and professional demeanor.
  • Highly organized with excellent attention to detail and ability to manage multiple tasks simultaneously.
  • Basic proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Comfortable in a physically active role that includes lifting and moving items (up to 50 lbs).
  • Ability to work fully in-person, with a dependable work ethic and a commitment to maintaining a professional office environment.
