About the Role
We are seeking a proactive, organized, and resourceful Administrative Assistant to provide high-level support to our CEO, Peter Dunn a.k.a. Pete the Planner®, and ensure the smooth operation of day-to-day office activities and additional administrative duties. This role is not just about managing calendars and booking travel—it’s about anticipating needs, ensuring priorities are executed flawlessly, and creating the space for the CEO to focus on strategic leadership.The ideal candidate is highly detail-oriented, tech-savvy, an excellent communicator, and comfortable operating in a fast-paced environment where priorities can change quickly.
You’ll be the CEO’s right hand, trusted with sensitive information, and empowered to streamline workflows while keeping the office running efficiently.
Key Responsibilities
Executive Support
- Calendar Management – Coordinate, prioritize, and maintain the CEO’s schedule, ensuring time is allocated effectively for meetings, strategy work, and personal commitments.
- Email & Communication Support – Monitor and organize the CEO’s inbox, draft professional correspondence, and flag high-priority items for immediate attention.
- Meeting Preparation & Follow-Up – Organize agendas, materials, and background information; capture notes and ensure action items are tracked and completed.
- Travel Coordination – Plan and manage travel arrangements, including flights, accommodations, transportation, and itineraries.
- Project & Task Management – Assist in tracking projects, deadlines, and deliverables, ensuring progress and follow-through.
- Stakeholder Coordination – Serve as a point of contact for internal teams, board members, partners, and clients, fostering clear and timely communication.
- Confidential Support – Handle sensitive company and personal information with the highest degree of discretion.
General Office Administration
- Oversee office supply ordering and inventory management.
- Manage vendor relationships, including services such as water delivery and other operational needs.
- Help plan, coordinate, and execute company culture events and on-site initiatives.
- Organize and manage employee recognition efforts, including sending birthday gift cards, work anniversary awards, and other appreciation gifts.
- Assist the HR team with onboarding and offboarding processes, including preparing materials, coordinating equipment, and welcoming new hires.
- Provide ad-hoc support to HR, Client Success, Sales, and Marketing teams, including administrative tasks, event preparation, and collateral organization.
- Support with light research, report preparation, expense management, and other operational needs as required.
Qualifications
- 3+ years of administrative experience (supporting senior executives or C-level preferred).
- Exceptional organizational skills with the ability to prioritize multiple tasks in a fast-moving environment.
- Must be able to meet deadlines.
- Strong written and verbal communication skills.
- Proficiency with Google Workspace.
- Tech-savvy, with the ability to quickly learn and adapt to new tools and systems.
- Discretion, professionalism, and a proactive approach to problem-solving.
- Ability to work independently while anticipating needs before they arise.
