We are a rapidly expanding digital publishing company seeking a highly capable Executive Assistant to provide strategic operational support to the Chief Executive Officer. This role is integral to our continued growth and organizational efficiency.

Position Summary


The Executive Assistant to the CEO is a critical support position focused on independent task execution, data analysis, and operational excellence. This role requires an individual who can translate executive directives into completed deliverables with minimal supervision while maintaining the highest standards of accuracy and timeliness. The successful candidate will serve as a key liaison between executive leadership and the sales organization, ensuring data-driven decision-making across all levels of the company.

Essential Duties and Responsibilities


Strategic Task Management


  • Execute complex projects and assignments delegated by the CEO from conception through completion
  • Conduct independent research and analysis to support executive decision-making
  • Develop solutions to operational challenges through critical thinking and problem-solving methodologies
  • Provide comprehensive status reports and project updates to executive leadership
  • Maintain accountability for deliverable quality and adherence to established timelines

Data Analytics and Reporting


  • Extract, analyze, and synthesize SEO performance metrics from Ahrefs and comparable analytical platforms
  • Design, develop, and maintain comprehensive spreadsheets, reports, and executive dashboards
  • Transform raw data into actionable insights through both analytical and visual presentation formats
  • Establish and monitor key performance indicators to support sales goal development and tracking
  • Ensure data integrity and accuracy across all reporting mechanisms

Sales Operations Support


  • Communicate performance metrics, objectives, and key performance indicators to sales personnel
  • Provide timely responses to team inquiries and coordinate information flow across departments
  • Facilitate effective communication channels between executive leadership and field operations
  • Support sales team productivity through efficient information management and distribution

Technology and Process Optimization


  • Demonstrate advanced proficiency in Asana for project management, workflow coordination, and team collaboration
  • Rapidly acquire proficiency in new software platforms and technological tools as business needs evolve
  • Develop and deliver training programs for team members on new systems and processes
  • Identify and implement process improvements to enhance operational efficiency and productivity

Required Qualifications


Education and Experience


  • Bachelor's degree preferred, or equivalent combination of education and professional experience
  • Minimum 3-5 years of executive administrative experience in a fast-paced business environment
  • Demonstrated experience supporting C-level executives or senior leadership teams

Technical Competencies


  • Expert-level proficiency in Microsoft Excel and Google Sheets, including advanced functions such as pivot tables, complex formulas, and data visualization techniques
  • Experience with SEO analytical tools, particularly Ahrefs, or demonstrated ability to quickly master similar platforms
  • Proficiency in project management software, specifically Asana
  • Strong aptitude for learning new technology platforms and software applications
