About the Role


We’re looking for a highly organized, resourceful Executive Assistant (EA) to support our CEO and help scale executive operations at AssemblyAI. This is a critical role for someone who thrives in fast-paced, high-growth environments and is excited about being a true right hand to a founder/CEO.This is a full-time, in-office role based in New York City, expected to be in-office five days a week. The role combines classic EA responsibilities with office and personal support, and event planning responsibilities.You’ll split your time across four key scopes:

  • Office Management (25%)
  • Executive Assistant support (25%)
  • Personal Assistant tasks (25%)
  • Company Off-site Planning (25%)

This is a fantastic opportunity for someone looking to grow in an executive support role while working closely with top leadership at one of the fastest-growing AI companies.

What You’ll Do:


Office Management (25%)


  • Manage the SoHo office: vendors, stock/supplies, facilities, space layout, hospitality, packages
  • Own invoice and budget tracking for snacks, IT equipment, and swag orders
  • Greet guests and ensure a smooth office experience for team members and visitors

Executive Assistant (25%)


  • Manage a zero-conflict, high-volume calendar for the CEO
  • Book domestic & international travel (air/rail/hotel) and prepare detailed itineraries
  • Draft internal communications and ensure timely follow-up on key action items and priorities

Personal Assistant (25%)


  • Assist with a variety of personal logistics to help streamline the CEO’s day-to-day life
  • Coordinate household scheduling (Brooklyn-based), including vendor appointments, car maintenance, and reservations
  • Handle online returns, local errands, and ad hoc personal tasks as needed
  • Manage highly sensitive personal information with the utmost discretion and professionalism

Off-site Planning (25%)


  • Design, budget, and execute company and leadership off-sites (50–100 attendees)
  • Own logistics end-to-end: venue sourcing, contracts, run-of-show, vendor management

What You’ll Need


  • 3+ years supporting C-level executives in fast-paced environments (tech/startups preferred)
  • Strong communication, organizational, and multitasking skills
  • Experience handling highly confidential information with discretion
  • Comfort with ambiguity, eagerness to take initiative and run with projects
  • Power user with modern tech stack — including Google Workplace, Slack, Zapier, ChatGPT 
  • Comfortable with some travel and evening/weekend support for events like hackathons, company dinners, or off-sites

Bonus Points


  • Experience working directly with a CEO or founder
  • Familiarity with AI, developer platforms, or B2B SaaS
  • Strong interest in workplace culture, event planning, or hospitality

Pay Transparency:

The range shared below is a general expectation for the function as posted, but we are also open to considering candidates who may be more or less experienced than outlined in the job description. In this case, we will communicate any updates in the expected salary range.The provided range is the expected salary for candidates in the U.S. Outside of those regions, there may be a change in the range which will be communicated to candidates throughout the interview process.Salary range:  $108,000k - $120,000k
