Essential Functions
The Special Assistant to the Superintendent provides high-level administrative and strategic support to the Superintendent. This role requires exceptional organizational, communication, and problem-solving skills, with a focus on advancing the priorities of the Superintendent and ensuring efficient operations within the educational organization.
Responsibilities
- Manage the Superintendent's calendar, schedule meetings, and coordinate travel logistics.
- Prepare briefing materials, agendas, reports, and presentations for meetings and events.
- Track and follow up on high-priority projects and strategic initiatives.
- Act as a liaison between the Superintendent and internal/external stakeholders.
- Conduct research and provide analysis to support strategic decision-making.
- Ensure timely communication and coordination across departments.
- Handle confidential and sensitive information with discretion and professionalism.
- Organize and coordinate internal and external events, including logistics and follow-up.
- Identify process improvements to enhance operational efficiency.
Executive Support
- Manage the executive’s calendar, schedule meetings, and coordinate travel.
- Prepare briefing materials, agendas, and reports in advance of meetings.
- Draft and edit correspondence, presentations, and other communications.
- Preparing board materials and attending board meetings.
Strategic Coordination
- Track and follow up on high-priority projects and initiatives.
- Assist in implementing executive decisions across departments.
- Conduct research and analysis to inform strategic planning.
Communication Liaison
- Act as a liaison between the executive and internal or external stakeholders.
- Represent the executive at meetings when appropriate.
- Coordinate communication across teams to ensure alignment and execution.
Project Management
- Lead or support special projects assigned by the executive.
- Monitor project milestones and deliverables, ensuring deadlines are met.
- Collaborate with multiple departments to ensure progress and accountability.
Confidential and Sensitive Tasks
- Handle confidential information with discretion.
- Support crisis communication or sensitive matters requiring tact and professionalism.
Operational Efficiency
- Identify and recommend process improvements to increase executive efficiency.
- Track performance metrics and prepare executive-level dashboards or reports.
Event Planning & Coordination
- Organize internal or external events, including logistics, invitations, and follow-up.
- Ensure executive presence and preparation for key engagements.
- Supporting policy development and organizational change efforts.
Qualifications
- Bachelor's degree required.
- Strong written and verbal communication skills.
- Demonstrated ability to manage multiple priorities and work in a fast-paced environment.
- High level of professionalism, discretion, and judgment.
- Proficiency with productivity software (e.g., Microsoft Office, Google Workspace).
- Strong interpersonal and relationship-building skills.
