The Senior Administrative Assistant position will report to SVP Chief Actuary and perform a wide range of administrative and general support duties in a fast-paced environment located in our West Chester, PA office. Our ideal candidate will have experience working in the financial services industry.
Venerable currently works in a Hybrid Work Model, which consists of working in the office 2 days/week and 3 days remote during the summer months, and 3 days/week in the office and 2 days remote the remainder of the year.
Principle Responsibilities:
- Proactively manage calendar and scheduling for the leader(s) and / or their teams.
- Set-up and manage conference calls and meetings, including the preparation and organization of meeting spaces, guest registration with security, catering, and related event planning.
- Perform travel and meeting planning for the leader (and their teams as required), booking air/train/car transportation, hotels, conference rooms, etc.
- Perform expense management including expense report preparation, expense reconciliations or corporate card statement and invoice processing.
- Handle confidential information with the highest level of discretion.
- Draft and manage leader(s) communications and agendas via email and word processing.
- Provide telephone support, responding to questions, screening calls and rerouting calls when appropriate.
- Order office supplies, handling printing and scanning tasks, and serving as point person for office equipment maintenance and technology support personnel.
- Greet and see to the needs of guests, clients, and candidates.
- Provide support for employee onsite and offsite -related activities and events, i.e. holiday party, company outings, onsite DEI or volunteering events, employee town halls, organization and distribution of company swag items to employees etc.
- Provide periodic support to mail services, by way of mail sorting, collecting outgoing mail, and delivery of inbound mail.
- Provide administrative support to department talent acquisition processes as needed. This may include sending interview invitations, preparing interview agendas, scheduling conference rooms, and making travel arrangements for candidates.
- Provide back-up and support to other Assistants as requested, particularly within Finance and Risk functions.
- Provides support to individuals leading company initiatives – DEI, volunteering or any others.
- Other duties as assigned.
Knowledge, Skills and Abilities:
- High school diploma or equivalent required; associate or bachelor's degree is preferred.
- 3-5 years Administrative Assistant experience specifically in insurance or financial services is preferred, spanning multiple verticals and office locations.
- Experience liaising day to day with administrative assistants serving C-suite, SVP/VP, external parties for calendar and meeting management is preferred.
- Exceptional attention to detail, strong organizational and multitasking skills.
- Strong verbal and written communication skills.
- Ability to exercise considerable discretion.
- Strong Proficiency with Microsoft Outlook (Calendar, Email) and Teams.
- Familiarity with other Microsoft Office tools (Word, Excel and PowerPoint), particularly the print functions.
