Position Summary:

We are seeking a detail-oriented, knowledgeable, and highly organized Payroll Administrator to support our payroll operations in coordination with the Senior Payroll Administrator. The ideal candidate will have strong expertise in multi-state payroll compliance, tax regulations, and federal and state labor laws. This individual will play a critical role in ensuring accurate and timely payroll processing across two organizations and will be instrumental in supporting a payroll harmonization initiative.

Key Responsibilities:


  • Process and audit bi-weekly payrolls for employees across two separate FEINs, ensuring accuracy and timeliness.
  • Ensure compliance with all federal, state, and local payroll, wage and hour laws and regulations across all operating states.
  • Investigating and resolving inquiries from tax agencies, employees, or internal stakeholders related to payroll taxes.
  • Monitor and maintain payroll tax filings, reconciliations, and year-end processes, including W-2s, ensuring accuracy and compliance.
  • Serve as a subject matter expert on multi-state payroll tax compliance, including state registration, state disability insurance, local taxes, and reciprocity agreements.
  • Collaborate with the Payroll Administrator to address and resolve payroll issues, discrepancies, or employee inquiries.
  • Assist in the upcoming payroll harmonization project to consolidate payrolls from two different FEINs and pay schedules into one unified process.
  • Work with HR, Finance, and IT to ensure proper integration and system alignments during and after payroll consolidation.
  • Maintain and audit payroll records, garnishments, benefit deductions, and tax withholdings.
  • Support audits and reporting requests from internal departments, external auditors, or government agencies.

Qualifications:


  • 3+ years of payroll experience with a strong understanding of tax and compliance across multiple U.S. states.
  • Experience processing payroll for multiple FEINs and navigating complex pay structures or schedules.
  • Strong knowledge of federal, state, and local payroll regulations and reporting requirements.
  • Experience with payroll system transitions, harmonizations, or mergers a plus.
  • Proficiency in payroll software systems (e.g., ADP, UKG, etc.) and Excel.
  • Certified Payroll Professional (CPP) designation preferred but not required.
  • High attention to detail, critical thinking skills, and ability to manage multiple priorities.
  • Effective communication and collaboration skills.

Preferred & Global Skills:


  • Experience working in a multi-entity organization.
  • Prior involvement in payroll system integration or consolidation projects.
  • Working knowledge of general accounting principles related to payroll.
  • Experience processing and managing global payroll across multiple regions, including knowledge of country-specific compliance, taxation, and labor laws.
  • Demonstrated ability to coordinate and align global payroll processes, integrating region-specific requirements into a standardized, scalable workflow.
  • Familiarity with navigating time zones, currencies, cross-border data security or privacy considerations in a payroll context.
  • Prior involvement in global payroll system implementations, vendor transitions, or process harmonization initiatives is highly desirable.

Base salary offers for this position may vary based on factors such as location, skills, and relevant experience.
