Position Summary


The Program Coordinator, assigned to the Condom Distribution Program (CDP), and grant funded by the Arizona Department of Health Services, is responsible for managing administrative tasks, inventory, and volunteer coordination related to the mail-order distribution of condoms throughout Arizona. This includes planning and organizing the ordering process, inventory management, procurement, progress reports, and shipping and packing. You will work closely with the Outreach and Community Engagement Manager to coordinate resources and volunteers.

This will include communicating with volunteers to ensure mail order deliveries are timely.You will also coordinate regular pop-up events at our facility and participate in community events to distribute condom packs and promote the program to consumers as defined by specific initiatives to reduce HIV/STI transmission in Arizona. This position demands a high level of cultural competency in the unique needs of communities of color, particularly those in Hispanic/Latino and Black/African American communities, and among the 2SLGBTQIA+ community.The Program Coordinator supports the Prisma Community Care mission of providing affirming and inclusive services to promote well-being and advance health equity for diverse communities and all those seeking compassionate care - especially people of color, 2SLGBTQIA+ and Queer individuals, and those affected by HIV.

What your day will look like at Prisma Community Care:


  • You will plan and organize the ordering process to ensure inventory is available for the program including monitoring shipping status and providing updates to the Outreach and Community Engagement Manager.
  • You will administer the delivery and storage of supplies effectively by creating space that maximizes storage while staying organized and efficient.
  • You will manage inventory on Squarespace by adding products to the store page, setting stock levels and fulfillment profiles, and closely monitoring for supply gaps.
  • You will utilize the FIFO method to organize products and minimize storing expired products.
  • You will conduct frequent inventory audits to check the physical count against the digital record, set a reorder point and maximum stock level for each product.
  • You will manage, engage, and ensure the training of volunteers for the program.
  • You will schedule and conduct weekly condom-packing events where volunteers assist in preparing mail orders for delivery; including, maintaining documentation for reporting purposes. 
  • You will ensure all necessary supplies, including condoms, packing materials, labels, and packing equipment are available and organized for condom-packing events. 
  • You will collaborate with the Outreach and Community Engagement Manager to work with harm reduction service programs in promoting the service and establish accessible distribution sites for condoms in areas frequented by the community through pop-up events.
  • You will update and maintain strong working knowledge of HIV/AIDS, treatment options, risk reduction techniques, substance use, mental health, insurance and benefits, case management, and other related issues.
  • This position requires the use of a personal vehicle to conduct business, including attending pop-up events, providing services at alternative locations, etc.
  • You will assist the Marketing Team with the distribution of STI prevention education, sexual health resources, and link to Prisma Community Care’s services, including condom and lube information.
  • You will communicate with the Outreach and Community Engagement Manager about expenditures, and program supply needs to meet program goals.

Requirements

Who we're looking for:


  • You have earned an undergraduate degree in business, social science, nonprofit management or related field, OR 3+ years’ experience offering supply chain management, project management, community-based outreach activities, or related field with a high school diploma or equivalent.
  • You must be proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint, Teams).
  • You are proficient in word processing, Excel, and spreadsheet software for managing inventory records and generating reports.
  • You demonstrate strong communications skills that are necessary to interact with vendors, clients, and internal teams.
  • You have the ability to work effectively independently and as part of a team with strong interpersonal and organizational abilities.
  • You have the ability to organize work products, keep clear records, and manage time well to optimize efficiency and productivity.  
  • You must be able to work the allocated hours of the position, including evening and weekend hours.
  • You have demonstrated the ability to establish rapport and maintain effective communication with culturally diverse populations from a wide range of life circumstances and backgrounds.

  • You possess a valid driver's license, have an insurable driving record, and you have access to a reliable personal vehicle for work-related activities.

  • You are bilingual in English and Spanish demonstrating Speaking & Listening skill.
  • You have experience using inventory management software such as Squarespace.
  • You have the ability to speak with broad cross sections of the community about personal sexual behavior and drug use in a non-judgmental and caring way. 
  • You have at least one year of work and/or volunteer experience providing direct service to individuals from the 2SLGBTQIA+ community or those at high risk for contracting HIV or STIs. 
  • You possess knowledge of the complex issues marginalized populations are faced with and the barriers they experience accessing healthcare.
  • You have one year+ of paid or unpaid experience providing direct behavioral health services, social assistance services, or advocacy services to underserved communities.
  • You have experience providing group facilitation, teaching, and/or public presentations. 
  • You have a basic understanding of how HIV is transmitted and prevented.
  • You have demonstrated skills, knowledge, and experience in the development and execution of outreach or community engagement activities.
  • You have the ability to build strong community relationships and you have knowledge of the Phoenix area.

Environmental Factors, Physical Requirements, and Compliance


  • Work primarily in a climate-controlled environment with minimal safety/health hazard potential. Work may also be conducted in outdoor festivals, bars, and community centers.
  • While performing the duties of this job, the employee is regularly required to walk, sit, stand; use hands, talk, and hear. 
  • The employee is occasionally required to reach with hands and arms. 
  • Specific vision abilities required by this job include close vision, distance vision, and the ability to adjust focus. 
  • Manual dexterity and lifting up to 50 pounds are required.
  • This position may require the employee to occasionally climb, balance, stoop, kneel, crouch, bend, or crawl. 
  • Currently have, or be able to obtain within 90 days of employment, a valid Fingerprint Clearance Card
  • Currently have, or are able to obtain within 7 days of employment, a clear TB test
  • Currently have, or are able to obtain within 7 days of employment, a current flu vaccination
  • Currently have, or are able to initiate within 7 days of employment, a Hepatitis-B primary vaccination series
  • Currently have, or are able to obtain within 14 days of employment, a CPR certification
