That’s where you come inAs a Payroll Specialist, you’ll support day-to-day payroll processing across Puerto Rico and the United States.
You’ll ensure compliance, accuracy, and service excellence—while contributing to improvements in how we do payroll, track time, and manage employee records. This is a key role in our Shared Services function, based in Puerto Rico.The fundamentals for the job…
- Process bi-weekly payroll for Puerto Rico and US-based employees, including auditing timesheets, reviewing payroll changes, and reconciling data with HR and Finance records.
- Ensure payroll accuracy by cross-checking compensation changes, employee agreements, and leave of absence updates.
- Review and audit payroll reports, including quarterly and year-end filings (e.g., W-2s, 499Rs), and support annual reconciliations and close-out activities.
- Support compliance with all local and federal payroll regulations, including Puerto Rico DTRH, IRS, and Department of Labor laws.
- Support time and attendance tracking in HRIS, addressing issues and discrepancies in partnership with managers.
- Monitor and manage leave accruals such as PTO, sick leave, and holiday balances, ensuring proper tracking and alignment with policy.
- Process wage garnishments, child support, and other mandatory deductions in accordance with applicable laws and court orders.
- Support payroll-related components of internal and external audits, including 401(k), worker’s compensation, financial, and regulatory reviews.
- Reconcile payroll transactions to the general ledger in coordination with Finance, supporting journal entries and month-end close processes.
- Manage direct deposit setup and respond to employee inquiries related to payroll, deductions, and timekeeping.
- Coordinate accurate and timely final pay for offboarding employees, including applicable payouts of accrued leave in compliance with labor law.
- Partners with Talent Strategy teams to ensure accurate payroll updates related to employee changes and benefits deductions.
- Provide support for required government filings such as OSHA 300/300A and Puerto Rico’s CFSE (worker’s compensation).
- Facilitate payroll-related onboarding and benefits orientation for new hires and provide training support to leaders of non-exempt employees.
- Supports data integrity and participates in payroll system updates, testing, and implementation efforts.
- Upload and reconcile monthly stipends and taxable benefits in the payroll system, ensuring proper classification and timely processing.
- Maintain records of payroll-impacting reimbursements processed through Finance, ensuring audit readiness and alignment with payroll entries.
- Support relocation-related payroll updates by validating tax and work location changes in collaboration with Talent Business Partners.
- Ensure accurate tax setup for U.S.-based employees based on their legal work location, coordinating with Legal and HRBPs as needed.
- Support payroll data preparation and reporting for Puerto Rico’s Ley 60 incentive program, ensuring compliance with wage reporting requirements.
- Maintain and update the annual payroll calendar and processing log, including holidays and deadlines, to ensure timely execution and internal alignment.
What we expect of you
The bold requirements…
- Bachelor’s degree in accounting, HR, Business, or a related field. (In lieu of a degree, equivalent relevant work experience may be considered.)
- At least 3+ years of payroll processing experience, ideally in both Puerto Rico and US jurisdictions.
- Strong knowledge of payroll compliance regulations (Puerto Rico and US).
- Experience with payroll systems (UKG and Paylocity preferred).
- Strong attention to detail and accuracy in numerical data.
- Excellent communication skills in both Spanish and English.
- Discretion in handling confidential and sensitive information.
- Excellent oral and written communication skills.
- We are proud to offer a flexible hybrid work model which will require certain on-site workdays (Puerto Rico Location Only)
- This position requires availability to work in a specified time zone or working schedule, accommodating the business needs of our clients and team members.
- This position may require availability for on-call hours, including evenings, weekends, and holidays, to promptly address emergent issues or provide necessary support as dictated by operational demands (if applicable).
