About Our Search
Hord Coplan Macht (HCM) is seeking a highly skilled and experienced Administrative Assistant that provides essential support to a market sector within the architectural firm. While this position provides dedicated day-to-day support to a specific team, it is part of the centralized administrative group and aligned with firmwide standards, tools, and priorities. The ideal candidate is highly organized, detail-oriented, and comfortable working in a fast-paced, deadline-driven environment. This role helps ensure the team runs efficiently by handling administrative duties such as travel coordination, license and membership renewals, document preparation, and internal communications.
Key Responsibilities:
- Coordinate complex travel arrangements, including flights, hotels, car rentals, and preparation of travel forms
- Manage the renewal process for architectural licenses and professional memberships, ensuring timely submissions and accurate tracking in firm systems
- Schedule meetings, manage logistics, and maintain team calendars
- Help prepare and edit high-quality documents, reports, spreadsheets, and presentations
- Submit and reconcile expense reports, track invoices, and manage purchases
- Maintain accurate digital and physical filing systems in accordance with firm protocols
- Communicate with internal/external teams (IT, Accounting, Marketing, Legal, Vendors, etc.)
- Support onboarding of new team members in partnership with the admin team
- Identify and implement process improvements that benefit both the team and the admin group
- Provide backup support to other admins as needed and contribute to a culture of mutual support within the admin team
- Enter PTO into the resource management system
- Assist Market Sector Leader with tasks
- Other duties as assigned
Qualifications:
- Minimum 4 years of administrative experience at a mid to large size organization
- Demonstrated ability to juggle multiple priorities with efficiency and attention to detail
- Strong proficiency in Microsoft Office Suite; familiarity with an ERP system, or project management applications is a plus
- Excellent interpersonal, written, and verbal communication skills
- Proven discretion when handling confidential information

Maryland Statement
The projected base salary for this full-time position is $68,000 - $73,000. Hord Coplan Macht’s salary ranges are determined by role, level, and location, as well as the individual’s education, experience, and skillsets. The estimate displayed represents the typical salary range for this position and is just one component of HCM’s total compensation package for employees.
