Position Overview:The 1916 Company, a leader in the global luxury watch market, is seeking a driven and detail-oriented Operations Coordinator/Associate to support both the Sales and Operations teams. This position is ideal for a motivated individual who thrives in a fast-paced environment, enjoys wearing multiple hats, and is eager to grow professionally. The role spans critical operational functions including shipping, receiving, intake, inspection, and sales support.
You will play a key part in ensuring that all watches and materials are processed accurately, securely, and in alignment with brand and company standards. Key ResponsibilitiesOperations Support
- Receive and register high-value client packages and incoming products.
- Document and photograph watches and materials in accordance with brand and company standards.
- Safely handle and organize all incoming items under surveillance to maintain accuracy and security.
- Confirm watch authenticity using proprietary tools, third-party verification, or in-house watchmakers.
- Build product profiles in NetSuite, entering accurate watch details and photos.
- Package and ship outbound watches for service, transfer, or return, ensuring proper materials and protocols are used.
- Physically transfer inventory between storage or operational locations.
- Open service returns under camera and prep them for re-inventory.
- Follow up on work in progress with service teams or external partners.
Inspection & Quality Control
- Perform visual inspections to verify authenticity and assess condition.
- Estimate repair needs based on age, condition, brand, and market value.
- Apply working knowledge of watch brands such as Rolex, Tudor, Omega, and more.
Sales Support
- Work closely with Watch Traders and Sales Associates to prepare products for sale and delivery.
- Ensure all necessary documentation and accessories accompany each watch.
- Follow up on package deliveries, confirm client information, and assist with payment processing.
- Engage in correspondence with clients when needed to support transactions or resolve issues.
Qualifications
- 2+ years of experience in a retail, logistics, or service-oriented environment (luxury or watch industry preferred).
- Strong attention to detail and organizational skills.
- Tech-savvy, with proficiency in Microsoft Office and experience using inventory or ERP systems (e.g., NetSuite).
- Ability to thrive in a multi-functional role, with a strong sense of urgency and accountability.
- Comfortable interacting with affluent clientele in a polished and professional manner.
- Passion for learning and developing within the luxury goods industry.
