Working Location:  This position is an in-office required position. Receptionists can choose from an 8:30am to 4:30pm or 8:00am - 4:00pm schedule.   Additional PTO is given for this schedule. 


Sponsorship: Sponsorship is not available for this position. 


Salary Range: $45k-$55k


The exact salary will vary based on years of experience and the level of proficiency in both hard and soft skills. It is uncommon for someone to be hired at the highest point of the salary range for their position. Job Description


JOB DESCRIPTION


At ALIS, the receptionist position is integral to creating a productive and beloved environment for staff and clients. This person will be highly organized, technologically savvy, optimistic, friendly, collaborative and proactive.

JOB ACCOUNTABILITIES


  • Warmly welcome all visitors and guests. 
  • Sets up and takes down conference rooms for interviews, meetings, etc.
  • Receives and manages package deliveries
  • Make sure the office kitchen is running smoothly - daily duties include:
  • “Opening” the kitchen in the morning: unloading the dishwasher, making coffee throughout the day, ensuring the refrigerators and pantries are stocked at the start of each day.
  • “Closing” the kitchen in the evening: filling and starting the dishwasher at the end of the day, cleaning all kitchen surfaces, emptying coffee pots, turning off coffee machines and storing perishable snacks in the refrigerator.
  • Prepare daily mail and packages
  • Supporting member of ALIS’s EPIC team 
  • Pick-up mail from post office (Tuesdays and Thursdays)
  • Assist with grocery ordering and deliveries: placing online grocery orders, setting appropriate delivery times, and unpacking groceries when the order arrives.
  • Order and organize all office supplies ( kitchen, bathroom, office supplies etc.) 
  • Track inventory of office supplies, kitchen items, and restroom supplies weekly
  • Assist with processing checks (as needed)
  • Build and maintain positive relationship with building management
  • Proactively send requests to building management for maintenance
  • Assist with company office projects (new furniture, construction projects, art projects, etc.) 
  • Order lunch for the company and/or departments as needed. 
  • Setting up/ taking down in-office food orders as needed
  • Reporting on building events/incidents ( fire drills, in-office repairs, general maintenance etc.) 
  • Supporting the planning and execution of ALIS quarterly collaboration weeks

Qualifications


JOB REQUIREMENTS :

  • Excited and proactive about planning and organizing events, celebrations, and team lunches.
  • Placing, tracking and receiving all Amazon equipment orders.
  • Placing,tracking and receiving all Instacart/Grubhub/Uber Eats orders.

Note this position includes the following physical breakdown: 


  • 70% sitting (although each desk has sit/stand functionality) and keyboard use; 
  • 15% standing and walking (including physically commuting to an office space, walking 5 blocks to the post office)
  • 15% lifting and carrying (grocery and other deliveries up to 20lbs) and other general physical efforts including stooping, kneeling, bending, crouching, reaching overhead, pushing, and pulling. 

  • Organized - documenting office policies and procedures to ensure smooth future operations.
  • Technologically savvy - intermediate level experience with G-Suite, Microsoft Word and Excel.
  • Optimistic- about ALIS's future and committed to its mission. 
  • Solution-Oriented- proactively identifies and addresses issues to ensure a seamless experience.

ALIS asks certain candidates for quick phone calls to gather additional information – these usually last about 5 minutes and are scheduled in advance and according to your schedule. After the phone screen, candidates that are selected to proceed in the process will do an in-person interview. Candidates selected for the third round of interviews will be invited to attend in person, and travel will be required.
