Position Summary:


We are seeking a talented and experienced Event Specialist to help support the member experience and events team in daily administrative tasks including planning and promotional activities for virtual and in person events, organizing and maintaining event resources, and researching products, venues and solutions to create more and better shared experiences at all Nationwide Marketing Group events.  The Event Specialist will work with vendors, members and internal stakeholders to plan and execute regional meetings, incentive trips, conventions and tradeshows.

This role will be the operational lead behind assigned events or projects for our members, vendors and internal team members. 

Essential Functions and Responsibilities: 


  • Planning and organizing assigned events according to stakeholder requirements, including researching and hiring vendors and booking venues and activities
  • Plan and coordinate the timely completion of event materials and deliverables.
  • Develop and maintain relationships with internal and external vendors, members, team members and partners.
  • Support vendor management related to events including arrangement of space, collateral, audio visual needs, equipment rental
  • Help track expenses for meetings and events and manage project budgets.
  • Maintain an event database and ensure all meeting and sponsorship costs are accurate and up-to-date.
  • Manage timelines and project plans
  • Take responsibility for project deliverables and deadlines
  • Communicate with clients, vendors, members and team members
  • Update and maintain pipeline and project checklists
  • Travel to select events as needed
  • Research industry events to participate in to maximize exposure with the target audience in creative and cost-effective ways.
  • Manage events calendar and ensure appropriate communications to all internal and external stakeholders.
  • Help with all event planning: including timelines, venues, vendors, staffing, and budgets

Qualifications:


  • 3+ years of experience in event planning, including experience at large-scale events/trade shows and employee-focused experiences 
  • In-person event experience with large budgets, multiple locations, and complex logistics a must
  • Energized by working in a fast-paced environment, with multiple and changing priorities and the need to maintain strong focus on execution and results.
  • Strong cross-functional people management and collaboration skills, and the ability to work with people at all levels of the organization.
  • Strong organizational and time management skills, with a strong attention to detail.
  • Ability to find the highest-impact approach and prioritize accordingly
