Job Summary:


Pace Center for Girls seeks a detail-oriented, mission-driven, and experienced Accounts Payable Administrator to manage and coordinate all accounts payable activities across our organization inclusive of our centers. Reporting directly to the Accounting Manager, the Accounts Payable Administrator will ensure timely and accurate processing of invoices, payments, and financial records, providing critical support to the organization's financial health and sustainability.

What This Role Does:


Accounts Payable Management – Ensure Accuracy and Timeliness


  • Process and manage all accounts payable transactions, including invoices, payments, and expense reports.
  • Verify and reconcile vendor invoices and resolve discrepancies.
  • Maintain accurate and organized financial records and documentation.
  • Ensure timely payment of invoices and adherence to payment terms.

Financial Reporting and Analysis – Support Decision-Making


  • Prepare and submit accounts payable reports and summaries to Finance Leadership.
  • Assist in the preparation of monthly, quarterly, and annual financial statements.
  • Conduct analysis and provide recommendations for process improvements.
  • Monitor and report on accounts payable performance metrics.

Vendor Relations – Foster Strong Partnerships


  • Develop and maintain effective relationships with vendors and suppliers.
  • Communicate with vendors regarding payment status and resolve any issues or discrepancies.
  • Ensure compliance with vendor contracts and agreements.

  • Ensure completeness and accuracy of vendor information is maintained, including current W9s, 1099 status, and banking information.

Team Collaboration and Training – Foster a High-Performing Finance Team


  • Support the finance team by cross-training as necessary.
  • Support cross-functional teams with vendor compliance and research as needed.
  • Participate in the training of temporary staff or new hires as necessary.
  • Provide training and support to center staff regarding accounts payable processes and procedures.

Audit and Compliance – Uphold Standards and Regulations


  • Assist in the preparation and performance of annual audit and tax return and other periodic regulatory requirements, including preparation of Form 1099.
  • Prepare requested schedules and documentation for auditors in a neat, concise, and timely manner.
  • Ensure compliance with GAAP, governmental, and other regulatory requirements.

Core Qualifications


  • High School Diploma required
  • Associate degree or Bachelor’s degree in accounting, finance, or a related field preferred.
  • Minimum of 5 years of experience in accounts payable or a related accounting position.
  • Proficient in the use of accounting software and Microsoft Office.
  • Knowledge of relevant federal and state laws impacting not-for-profit fiscal compliance and reporting.
  • Advanced analytical and critical thinking skills; strong written, oral, and interpersonal communication skills with the ability to work effectively with a wide range of management, staff, and external vendors.
  • Strong organizational skills and attention to detail.
  • Valid driver’s license.

Life at Pace Center for Girls

PACE Center for Girls, Inc. is a not-for-profit 501(c) 3 corporation that provides a non-residential delinquency prevention program in locations statewide, targeting the unique needs of females 12 to 18 who are identified as dependent, truant, runaway, delinquent, or in need of academic skills. PACE (Practical Academic Cultural Education) accepts referrals from the juvenile justice system, the Department of Children and Families, school personnel, community services agencies, parents, family members, friends and self-referrals. Its purpose is to intervene and prevent school withdrawal, juvenile delinquency, teen pregnancy, substance abuse and welfare dependency in a safe and nurturing environment. PACE programs provide the following services: academic education, individualized attention, a gender-specific life management curriculum (SPIRITED GIRLS®), therapeutic support services, parental involvement, student volunteer service projects and transition follow-up services. Every girl at PACE sets individual educational and social goals that are focused on earning a high school diploma or GED, re-entering public school, attending college, getting vocational training, joining the military or the entering the private workforce. After program completion, PACE continues to monitor each girl's educational and personal development with three years of follow-up case management. PACE operates 16 centers throughout Florida a reach program, and pre-teen centers (girls ages 8-11) in Broward and Manatee Counties. Since it's creation in 1983 PACE has served over 17,000 girls.
