Summary


The Customer Account Specialist plays a key role in supporting customer relationships and ensuring a smooth order fulfillment process in a fast-paced aerospace manufacturing department. This individual is responsible for handling incoming purchase orders, managing order entry and communication, and ensuring proper documentation, including the creation and filing of Device History Records (DHRs). The role serves as a liaison between customers, production, and quality departments.Essential Duties and Responsibilities include the following.

Other duties may be assigned.

  • Receive, review, and process customer purchase orders accurately and in a timely manner.
  • Enter POs into the ERP system and confirm receipt and delivery expectations with customers.
  • Communicate proactively with customers regarding order status, delivery schedules, and any potential delays.
  • Coordinate with internal departments (production, quality, shipping) to ensure orders meet customer and regulatory requirements.
  • Prepare and maintain Device History Records (DHRs) in accordance with aerospace quality standards and customer-specific requirements.
  • Ensure all customer documentation is complete, accurate, and stored properly in physical or digital formats.
  • Respond to customer inquiries via phone and email in a professional and timely manner.
  • Support customer audits by providing requested documentation and records.
  • Escalate critical issues to appropriate departments or leadership when necessary.
  • Assist with continuous improvement initiatives related to customer service and order processing.

Education and/or Experience


  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
  • Minimum 2 years of customer service or order entry experience, preferably in a manufacturing or aerospace environment.
  • Familiarity with aerospace industry standards (AS9100, ISO 9001) is a plus.
  • Strong attention to detail and organizational skills.
  • Proficient with Microsoft Office Suite (especially Excel, Outlook) and ERP systems.
  • Excellent written and verbal communication skills.
  • Ability to manage multiple priorities and deadlines.
  • Experience in handling controlled documents and understanding traceability requirements is preferred.

Physical Demands


  • While performing the duties of this job, continuous mental and visual attention is needed. The ability to walk, stand, sit, talk and hear is frequently required.  The ability to operate a computer is required.  Lifting up to 20 pounds is occasionally required.
