Job Description


As our Office Coordinator you will be responsible for the following:

  • Office Administration:
  • Organizing and overseeing daily office operations and procedures
  • Maintaining inventory and ordering office and kitchen supplies (e.g., food, beverages, water)
  • Ensuring a clean, organized, and welcoming office environment
  • Coordinating office layout, equipment, and logistics with landlord or agency
  • Employee Support:
  • Providing general administrative assistance to employees (e.g. office access cards, health insurance cards, meeting coordination)
  • Coordinating Serbian language courses with employees and school/teachers (e.g. scheduling, materials, logistics)
  • Organizing company events and team-building activities
  • Vendor and Visitor Management:
  • Managing relationships with vendors, service providers, and the landlord
  • Processing and tracking office-related invoices and payments
  • Welcoming and supporting office visitors, including those from other locations
  • Communication and Documentation:
  • Sending internal communications and building notices
  • Coordinating administrative tasks with HR and accounting departments

Qualifications


  • Proven experience in office administration/management or a similar role
  • Strong organizational and time-management skills - ability to handle multiple tasks and projects simultaneously
  • Excellent interpersonal and communication skills
  • Event organizing experience
  • Proficiency in Microsoft Office (Word and Excel) and Publisher, good knowledge of other standard office software
  • Drivers license - active driver
  • Fluent English and Serbian language (spoken and written) is required

Additional Information


Note:

This role will start with a part time contract (4h per day) with potential to grow to a full-time job (40h per week) after 6 months.
