RESPONSIBILITIES
The Administrator will report to the General Manager with duties including, but not limited to:
1. Office Operations & Maintenance:
- Oversee daily office operations, manage supplies, daily lunch orders, coordinate with vendors, and ensure a well-maintained and functional workspace.
- Maintain workplace safety protocols, oversee emergency preparedness, and support wellness initiatives for employees.
- Facilities Management – Working with vendors, sanitation and building maintenance for upkeep and cleanliness of the furniture, fixtures, and equipment and overall studio environment.
- Vendor & Office Budget Coordination – Work with external vendors, track office expenses, and ensure cost-effective management of office-related services.
- Guest & Visitor Experience – Greet guests, manage office access, and ensure a welcoming and professional environment for employees and visitors, hotel and car arrangements when needed.
- Scheduling & Administrative Support – Manage calendars, book meeting spaces, and assist with executive or team scheduling needs.
- Travel and Logistical Coordination - coordinates all travel logistics for executives and key staff, ensuring travel plans are well-organized, efficient, and aligned with studio schedules.
- Internal events - Support logistics and contracts, payments for big events
2. Administration:
- Processing full-cycle studio management-related payments on Coupa and recording expenses.
- Incoming/Outgoing letter management.
- Manage vendors by negotiating contracts, reviewing them with a legal consultant, and properly filing all agreements.
- Manage 3 Janitors in daily work, leave management
- Onboarding – Assist in onboarding new employees, create onboarding tickets, provide office tours, and ensure they have the necessary tools and resources for a smooth start.
- Offboarding - Assist in the offboarding process Apply expat licenses (visa, work permit, TRC), support expat issues in VN and make relevant reports.
- Trade Union: Support in Trade Union activities (budget control, expense checking & event)
- In charge of the Company licensing (firefighting & labor safety control)
- Filing company policies, supporting employees’ personnel In charge of Premium healthcare insurance
- Handle confidential information with sensitivity and in compliance with data protection regulations.
QUALIFICATIONS
- At least 2+ years of experience as an Office Administrator or relevant.
- Strong communication skills in English, both written and spoken.
- Proficiency in Microsoft Office.
- Possesses a proactive approach, takes initiative.
- Good organizational skills with the ability to multitask when needed.
- Strong attention to detail.
