Job Description
As Northrop Realty’s Senior Director of Administration, you provide hands-on leadership and oversight across key organizational functions, ensuring our brokerage runs smoothly and efficiently. Leading multiple departments—including Client Care, Home Marketing, Agent Onboarding and Support, IT, and Facilities—you ensure structured workflows and well-defined processes are in place to maintain a high-performing, service-oriented environment. With a solid foundation in real estate operations, you are a key problem-solver and point of escalation, actively supporting our staff through day-to-day challenges and ensuring continuity in service delivery. You serve as a strategic partner to executive leadership and collaborate with Finance to develop departmental budgets.
Known for your ability to lead cross-functional teams and respond quickly to evolving needs, you play a critical role in maintaining service excellence across our brokerage.
Essential Functions:

- Leads and oversees daily operations of Client Care, Home Marketing, Agent Onboarding and Support, IT, and Facilities departments.
- Serves as the primary escalation point for departmental issues and coordinate resolution efforts, including executive input when needed.
- Analyzes workflows and processes to identify administrative inefficiencies and implement scalable process improvements.
- Evaluates tools, processes, and resources to recommend enhancements that support growth, efficiency, and scalability.
- Develops and monitors key performance indicators (KPIs) to evaluate departmental performance, team productivity, and service quality.
- Collaborates with the Chief Growth Officer and Chief Strategy Officer on organizational strategies, ensuring operational plans align with brokerage objectives.
- Partners with Finance to develop, manage, and monitor budgets, financial plans, and expense allocations for assigned departments.
- Fosters a service-oriented culture that supports agents and internal stakeholders with timely, solution-driven operations.
- Promotes cross-functional collaboration between administrative teams.
- Mentors, coaches, and supports departmental leaders, ensuring team alignment and engagement.
- Participates in strategic planning, contributing operational insight into broader brokerage initiatives.

Supervisory Responsibilities:
Yes. This position has direct supervisory responsibility over department heads, including Directors and Managers in Client Care, Home Marketing, and Agent Onboarding and Support. Related, this role is responsible for performance management, goal setting, timecards, coaching, and professional development of direct reports and may participate in hiring, promotion, and disciplinary processes in collaboration with Human Resources.
Qualifications
Required Skills/Abilities:
- Demonstrated success leading multi-functional teams within a real estate brokerage or related service industry.
- Excellent leadership and team management skills, with the ability to coach and develop talent.
- Strong understanding of real estate transactions, agent support needs, and brokerage operations.
- Excellent ability to manage complex projects, budgets, and process optimization efforts.
- Excellent people skills, interpersonal savvy and ability to build relationships across departments and with executive leadership.
- Excellent organizational, analytical, and verbal and written communication skills.
- Ability to maintain composure, prioritize tasks, and make thoughtful decisions in a fast-paced environment.
- Comfortable with data-driven decision-making and operational metrics.
- Proficient with CRM (Salesforce a plus), workflow, and real estate-specific technology platforms (e.g., BrightMLS, etc.).
Education and Experience:
- Bachelor’s degree in Business Administration, Operations, Real Estate, or a related field required.
- Minimum 8–10 years of progressive experience in brokerage administration or operations, including at least 5 years in leadership.
- Experience working closely with executive leadership and cross-functional teams.
Physical Demands:
- Prolonged periods of sitting at a desk and working on a computer
- Must be able to lift and carry up to 20 pounds at times.
Travel Required:
- Occasional travel may be required to attend meetings, training, or brokerage events.

Salary Range:
