POSITION OVERVIEW


The Contract-Perrmit Lifecycle Analyst plays a critical role in modernizing and streamlining core administrative functions across permitting, contract management, and process operations. This role is deeply operational and tech-forward, requiring someone with a strong foundation in either permits or contract administration, and a passion for applying AI tools to increase efficiency and accuracy across all touchpoints.The ideal candidate will proactively identify opportunities for automation, improve compliance tracking, and enhance process transparency—all while collaborating cross-functionally to embed intelligent systems into Gable’s operational fabric.

Familiarity with the sign industry is a significant plus, offering insight into permitting requirements and regulatory constraints specific to our domain.

KEY RESPONSIBILITIES


Permitting & Compliance


  • Manage and optimize permitting workflows across municipalities and jurisdictions.
  • Develop AI-enhanced systems to track expiration dates, automate submissions, and ensure regulatory compliance.
  • Conduct research on applicable municipal, state, and federal codes to ensure project and documentation alignment.
  • Standardize permitting documentation and accelerate turnaround time using intelligent templates and AI assistants.
  • Collaborate cross-functionally with Sales, Design, and Project Management to ensure permit feasibility aligns with project scope and schedules.
  • Liaise with local zoning officials to facilitate timely approvals and maintain strong working relationships.
  • Support creative, solution-oriented approaches to navigate variance issues and regulatory challenges.
  • Leverage historical permit data and AI tools to identify trends and reduce cycle times across permitting jurisdictions.
  • Ensure permitting activity is aligned with overall project timelines, including coordination of inspections and documentation hand-offs.

Contracts & Document Review


  • Administer contract lifecycle workflows including drafting, review, redlining, and archiving.
  • Use AI tools to assist with clause detection, risk flagging, and contract comparison.
  • Ensure documentation aligns with internal policies and legal compliance standards.
  • Track and manage contract lifecycles, including renewals, expirations, and key milestones using automation tools.
  • Monitor compliance with contractual obligations and proactively flag potential risks or inconsistencies using AI-based alerts or dashboards.
  • Maintain a centralized, secure repository for all contract records with clearly defined access controls.
  • Generate and distribute performance or compliance reports related to contract status, cycle time, or risk areas.

Process Design & Automation


  • Analyze, document, and improve administrative workflows with an automation-first mindset.
  • Implement AI platforms and low-code tools (e.g., ChatGPT, Zapier, Airtable AI) to reduce manual effort.
  • Measure workflow performance, identify bottlenecks, and implement scalable process enhancements.
  • Maintain a centralized, version-controlled repository of process documentation, SOPs, and policies to support operational consistency.
  • Collaborate with document owners to ensure timely updates and annual reviews of all SOPs, policies, and process assets.
  • Support the creation of standardized templates and documentation tools that align with company branding and compliance.
  • Monitor and report on process health KPIs, such as documentation update rates, automation adoption, or workflow latency.

Cross-Functional Collaboration


  • Partner with permitting coordinators, legal counsel, project managers, solutions consultants, and technical teams.
  • Train stakeholders on new workflows and AI-based systems.
  • Advocate for data-driven decisions and proactive compliance monitoring.

QUALIFICATIONS


  • Bachelor's degree in Business Administration, Operations Management, Information Systems, or a related field.
  • 2–4+ years of experience in at least one of the following: permitting, contract administration, or business operations.
  • Demonstrated experience with AI tools and platforms for business process enhancement.
  • Experience in the sign industry or a similarly regulated environment is a strong plus.
  • Ability to build, test, and iterate on new processes and automations.
  • Strong communication and technical documentation skills.
  • Comfortable with cross-functional collaboration and supporting multiple teams.

PHYSICAL REQUIREMENTS


Manual dexterity to operate a computer and perform administrative tasks. Visual acuity (with correction) and the ability to speak and hear. Primarily sedentary work, with occasional walking, standing, or carrying of light materials.

WORK ENVIRONMENT


Primarily office-based, with occasional visits to project or manufacturing environments. May encounter standard conditions such as noise, dust, or factory activity.

TRAVEL


Minimal travel is required (<5%).

COMPENSATION
