What you'll be doing:
The Executive Creative Director, Video, will have the following responsibilities in addition to others, as assigned at the discretion of the President, Managing Director, or their designees.
Staff Management
- Manage the production team and ensure smooth operations and that all staff are meeting agency and client needs on both policies and product fronts.
- Complete hands-on assignments for sound, motion, lighting, editing and other relevant work with highest level of quality – and demonstrate best practices to other staff through training and modeling the highest level of professionalism/execution of tasks.
- Monitor necessary systems to ensure the production team is in compliance with all agency guidelines and needs especially as related to budget matters, time management, expenses, and equipment needs.
- Manage and assign the schedule for the team both for motion, still, sound, and editing purposes.
- Ensure the team demonstrates timely and full compliance with all agency policies and processes, including and especially Timesolv entries, reimbursement and expense items and reports, inventory needs, and more.
- Manage production team schedule and ‘traffic’ - ensuring all staff arrive early and on-time for assignments.
- Manage a communication system with and among the team to ensure there is confirmation of arrival and departure from all assignments.
- Manage and problem-solve for unexpected schedule changes or situations that may jeopardize a successful shoot.
- Work with Executive Managers and HR to address noncompliance issues with agency policies or performance challenges among team.
- Ensure production team staff receive guidance and support in fulfilling the roles and responsibilities within their specific job descriptions.
- Ensure the team responds to work requests from the firm's leadership team and account teams in a timely way that results in positive and transparent collaboration agency-wide.
- Foster high-level strategic collaboration between production and other creative teams.
- Provide clear and actionable feedback to freelancers and production team members.
- Lead production team meetings.
- Develop and implement an ongoing training plan for the production team.
- Ensure the production team maintains transparent scheduling and on-time arrival to all shoots.
- Verify that the production team accurately and consistently tracks project time through the Timesolv system.
- Ensure the production team adheres to finance protocols, including meeting all deadlines and submitting reimbursement requests within the designated timeframes.
- Enforce proper filing and archiving protocols, ensuring that the team adheres to server and Basecamp protocols, including file and folder naming conventions, media management and file backup standards.
- Ensure that the team delivers all photo and video files in correct formats and specifications.
- Ensure the production team meets deadlines.
- Provide overall management of and responsibility for the server with regard to creative and production assets.
Equipment Maintenance/Inventory
- Make sure that all production team staff are equipped for motion/still/drone gear at all times, including establishing the necessary “kits” and travel-ready containers for all shoots, including those that require air travel.
- Develop budgets for multimedia equipment needs and make recommendations for gear maintenance/upgrades/replacements.
- Manage budgets for equipment ‘rental’ to clients and work with finance to ensure those usages are properly billed.
- Maintain a strong grasp of inventory of all gear.
- Maintain strong insights into integrity of files, server plan, etc.
- Educate and support staff on proper use of equipment and help train staff as-needed on how to produce quality content using equipment and editing tools.
Partnership Development
- Support management on direct client engagement, partnership development calls, and prepare initial briefings for the multimedia team and other stakeholders on new projects.
- Work with PD to maximize revenue through a gear rental process.
- Work with PD and the Production Manager to estimate contracts, set up contract scopes for success, anticipate and accommodate staffing requirements through strategic staff hiring and third-party vendor coordination.
Agency Responsibilities
- Work collaboratively with production, client service, and design teams, as a team player.
- Come prepared to meetings and, when necessary, client presentations with high-quality products queued up and ready to display.
- Maintain a positive, can-do, and helpful approach to the work, clients, and colleagues.
- Be available during standard business hours and sometimes beyond business hours, when deadlines or urgent projects necessitate.
- Work with senior production team members to develop agency-wide production standards and implement the rollout.
- Create agency-wide process documents, templates, and training resources based on industry standards and developments.
- Other duties as assigned.
Production Responsibilities
- Manage the production department, ensuring the highest standards of production quality on all assets and final products, with a keen eye for detail.
- Manage the production department to maximize the impact of all content toward client goals.
- Manage agency production processes, structures and workflows through organizational implementation.
- Provide high-level guidance to client service and production teams on content strategy, in order to create the best possible products considering client, project, and agency resources.
- Implement department-wide creative innovation to keep 617MediaGroup at the forefront of issue-driven multimedia content creation and marketing.
- Liaise with producers, freelancers, studios, and third-party vendors as needed to ensure productions are consistent with client needs.
- Provide management with daily PM reports on assignments and division of labor
- Manage and assign production team work to ensure client goals are met.
- Manage and maintain a clear and easy-to-follow, accurate calendar of work being done by the production team and be responsive to management requests for updates and adjustment to schedules.
- Manage workflow to ensure the team provides near-perfect first drafts and flawless finals.
- Ensure all drafts reflect feedback from clients and supervisors.
- Monitor and review all deliverables before they go to division leaders or clients.
- Ensure agency standards are maintained across all deliverables.
- Provide the highest level of media and campaign production expertise in service to clients’ missions and goals.
- Multitask effectively on a wide range of client projects and deliverables related to production.
- Coordinate and advise on production team freelance usage.
- Manage and collaborate with client service and production teams in creating timelines and budgets.
All employees in this position are expected to retain a valid driver’s license and a purchased or leased automobile for personal transportation to work events with a valid inspection sticker. Starting salary offer amounts are furnished at the discretion of the agency with adherence to contractually guaranteed minimum pay rates and are also based on the relevant experience level of the applicant and agency hiring needs.
