Executive Assistant for C-Suite

Summary:


XD Bank is currently seeking an Executive Assistant to support our C-Suite executives, ensuring seamless communication and operations. You'll manage high-level administrative duties while acting as a liaison with internal teams and external counterparties such as investors, regulators, and board members. Exceptional communication, discretion, and problem-solving abilities are critical to success in this role. 

Essential Duties & Responsibilities (include but not limited to):


  • Manage complex scheduling, including meeting agendas, mail, phone calls and other logistics
  • Coordinate flow of information to C-suite executives
  • Provide administrative and office support, such as spreadsheet creation and occasional Powerpoint presentations as needed
  • Maintain electronic filing systems as well as contact and other databases
  • Prepare draft communications
  • Review and compare documents (i.e., legal, procedural or policies)
  • Maintain professionalism and strict confidentiality with all materials and information
  • Organize team communications and plan events
  • Perform various weekly or monthly duties as assigned, including reports and other communications

Qualifications (Education, Computer Skills, Certifications, Etc.):


  • Bachelor's degree or equivalent work experience
  • Five or more years of executive support experience, ideally in fintech, finance, or tech startups
  • Strong organizational skills and attention to detail; able to multitask and prioritize effectively
  • Proven ability to interact professionally and confidently with high-level external stakeholders
  • Excellent written and verbal communications skills
  • Tech-savvy, with proficiency in Microsoft Office 
  • Comfortable working in a fast-paced, high-growth environment
  • Proactive, adaptable, and resourceful with a high degree of professionalism
  • Ability to maintain confidentiality of information related to company and its employees
