Position Overview
The Pre-Construction Estimating Assistant is an essential member of the Preconstruction team, responsible for supporting the estimating process through administrative, technical, and communication functions. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced, deadline-driven environment. The ideal candidate is proactive, professional, and eager to learn the intricacies of construction estimating.
Key Responsibilities
- Assist estimators with the preparation and organization of project bids.
- Track and maintain bid request logs and deadlines.
- Download, organize, and review plans and specifications for bidding.
- Issue vendor pricing requests and follow up to ensure timely responses.
- Prepare and send Requests for Information (RFIs) to clarify drawings or specifications.
- Communicate professionally with clients, vendors, and subcontractors via email and phone.
- Maintain documentation for current and historical bids.
- Coordinate file organization and archiving for all estimate-related materials.
- Support internal team with data entry, cost comparisons, and quote analysis.
Requirements
Key Professional Attributes
- Basic Math Skills: Comfort with arithmetic, including percentages and basic calculations.
- Basic Excel Skills: Ability to create and navigate spreadsheets efficiently.
- Microsoft Outlook Proficiency: Experience in professional email communications.
- Consistent Attendance: Reliable presence in the office to support the estimating team.
- Phone Etiquette: Professional and courteous communication on calls.
- Clear Writing Skills: Ability to draft clear, professional RFIs and other correspondence.
Preferred Skills & Experience
- Experience using Bluebeam Estimating Software (or ability to be trained).
- Ability to read and interpret construction drawings and blueprints.
- Familiarity with Procore, Building Connected, or other GC project communication platforms.
- Previous experience working with vendors or procurement, particularly with plumbing and fixture materials (e.g., faucets, tubs, sinks).
- Previous exposure to the bid process lifecycle – from project tracking through submission.
- Ability to multitask and manage time-sensitive requests calmly and effectively.
- Demonstrated experience responding to follow-up bid inquiries weeks or months after submission, with professional communication and organized retrieval of needed information.
