Title: Administrative Associate


As the Administrative Associate, you’ll play a key role in elevating the client experience by providing proactive, high-level support to the Managing Director, Wealth Managers, and Client Services team. This position is integral to the success of firm-wide operations and will contribute to a variety of projects that directly support the firm’s mission and client service goals.

What You’ll Do:


  • Supports Wealth Managers and Client Services Associates in delivering timely and professional client service
  • Prepares materials and paperwork for client meetings and reviews
  • Manages and updates client relationship management (CRM) systems, workflows, and checklists
  • Schedules and coordinates meetings, follow-ups, and task tracking
  • Helps streamline client outreach processes and support systems with the Wealth Advisor team
  • Maintains and distributes weekly client notes and ensures client materials are up to date
  • Cross-trains in compliance and operations to provide backup assistance as needed

What You’ll Need to Succeed:


  • Associate or bachelor’s degree in business, finance, or a related field preferred
  • Prior experience in financial services, client support, or administrative roles is highly desirable
  • High level of professionalism and commitment to quality customer service, including strong phone etiquette
  • Impeccable integrity and ability to maintain strict confidentiality with sensitive client information
  • Strong organizational and time management skills; able to efficiently manage multiple tasks and meet deadlines
  • Excellent attention to detail and high degree of accuracy in all work
  • Proven ability to follow through on assignments and proactively manage pending items
  • Quick to learn new software systems; proficiency in Microsoft Office Suite and familiarity with CRM platforms preferred
  • Positive, team-oriented attitude with a willingness to assist wherever needed

Compensation:


Salary range between $52,000 to $60,000 annually
