About the Role: The Operations Coordinator's primary role is to support the assigned Emerging Business Group (example: Jack Rogers) supply chain activities from the point of supplier PO placement to arrival at the US port of entry, including coordinating inbound shipments, gathering and processing related operational data, cost data, and service provider invoices. This role serves as back up support to the customer service, distribution and production teams.
- Updating PO production status, expected ship dates, and ETA-distribution center.
- Coordinate booking, routing, and shipment dispatch with the freight forwarder.
- Create inbound shipment records; update as needed with inbound tracking updates.
- Check in-transit cash flow; reach out to the factory if invoices are missing
- Coordinate customs clearance with Broker, update ETA-distribution center.
- Review and approve freight and broker invoices.
- Actualize freight and duty master book and apply to receivings.
- Complete the Pre-Receiving Process and daily checking of the item receipt report in NetSuite.
- Set up and manage Customs Entry hardcopy files.
- Obtain FedEx and UPS invoices from Portal and process through Accts Payable.
- Provide back-up customer service support as needed: order entry and updates, customer inquiries, price adjustments, refunds/exchanges, etc.
- Provide back-up as needed to distribution operations: inbound delivery and receiving coordination, order processing, shipping confirmation and invoicing.
Position Specifications
- High School Graduate or equivalent work experience. College education strongly preferred
- 3+ years of relevant work experience or equivalent education. MS Inbox, Excel and Word are a must
- Detail-oriented and able to handle multiple tasks on a daily basis
- Competency in math is a plus
- Good communication skills and the ability to effectively interact with customers, account executives and other associates.
