The Workplace Experience Specialist is responsible for keeping the office running smoothly and ensuring that every member of the Knix team and guest has everything they need to work effectively and productively in a positive work environment. They are the go-to person for all office questions as it relates to the physical and virtual working space and any processes, policies, and procedures. If the Workplace Experience Specialist doesn't have the answer, they will always support you in navigating Knix’s organization structure and direct you to the right person or team to get your question answered.The Workplace Experience Specialist operates with a strong sense of integrity, excellence, and execution.

The role is critical to making the Knix office – virtual and physical – a warm, inviting, and productive place for Knix employees and guests alike.

The Opportunity


  • Operates with integrity and excellence on all administrative duties and is the primary Admin for all requests and support for several business-critical tools such as Google, Slack, Zoom, and Uber
  • Supports onboarding and offboarding processes to ensure a seamless employee experience through office tours, orientation modules, check-ins, and tech setup
  • Regularly audits and proactively orders relevant supplies, equipment, and snacks, including stocking the office with a range of tech accessories
  • Partners closely with IT to manage and maintain infrastructure, including ordering and coordinating delivery of technology and accessories, setting up new accounts, and disabling offboarded accounts
  • Accountable for maintaining the office space, including daily walkthroughs to assess overall maintenance, security, and employee experience
  • Performs receptionist duties: greeting visitors, managing deliveries, and answering/directing phone calls, emails, and queries
  • Develops and implements office policies and procedures, ensuring clear communication across the organization
  • Collects feedback from employees and reviews data to assess experience and satisfaction; creates proposals and initiatives to optimize the in-office experience
  • Assists with office layout planning, events, and office moves or changes
  • Provides administrative support as needed, including scheduling group meetings, managing meeting rooms, maintaining calendars, conducting research, and creating reports
  • Partners closely with the Executive Operations Manager to ensure smooth communication and execution of key activities, such as coordinating executive and board meetings and implementing major office changes
  • In collaboration with key partners, maintains office processes to support the employee experience, including communicating and coordinating Knix’s Milestones program and working with the People Operations team on the weekly internal newsletter and onboarding/offboarding
  • Maintains positive relationships with building operators, landlords, facilities operators, and courier partners
  • Active member of the Joint Health and Safety Committee, Social Committee, and Employee Resource Groups at Knix

Qualifications


  • 2–5 years of work experience in an administrative/office management or customer service role
  • Strong organizational and time management skills, with the ability to prioritize effectively
  • Self-starter who is driven and able to work independently
  • Excellent communication and interpersonal skills
  • Strong problem-solving skills and analytical abilities
  • Proficient with Microsoft Office, Google Suite products, and Zoom
  • Strong sense of urgency and meticulous attention to detail
  • Ability to manage confidential information with discretion and maturity
  • Comfortable working from our Downtown Toronto Office 5 days per week (9am-5pm)
