Executive Assistant (Contractor)

About the Role


We’re looking for an experienced, proactive, and highly organized Executive Assistant who can also play a critical role in site operations for our growing R&D hub in India.This is a hybrid role that goes beyond calendar management — it’s about enabling a high-performing leadership team, shaping team culture, and making the engine behind the scenes run smoothly. You’ll work closely with the R&D Site Lead, partnering on day-to-day planning as well as longer-term initiatives that support engineering, product, and design teams at the site.

In this role you can expect to


  • Manage complex calendars, prioritize meetings, and coordinate with global time zones
  • Help prepare for leadership meetings, offsites, and internal communications
  • Track action items and follow through across multiple workstreams
  • Coordinate travel, events, and team logistics as needed
  • Partner with Workplace/Facilities/IT to ensure smooth site functioning
  • Plan and support internal events (e.g., all-hands, offsites, leadership visits)
  • Be a point-of-contact for India based R&D activities and team rituals
  • Help drive initiatives that enhance employee experience and site culture
  • Collaborate with other EAs, business operations, and global stakeholders
  • Assist in project coordination, light documentation, and reporting
  • Communicate effectively across functions to keep work moving forward

You may be a good fit for our team if you have


  • Solid experience as an Executive Assistant or in program/site operations
  • Excellent organizational and communication skills
  • Proven ability to manage competing priorities with grace and discretion
  • Comfortable working across time zones and cultures
  • A calm, can-do attitude with a bias toward action
  • Experience in a tech/R&D environment is a plus

Bonus If You Have


  • Experience supporting engineering/product/design teams
  • Exposure to internal tooling (Slack, Google Workspace, Notion, Confluence, etc.)
  • Strong written communication and coordination skills
  • A passion for making teams run better — and a good sense of humor!
