Summary:

The Marketing and Business Coordinator provides support to the business team and program director by assisting with marketing campaigns, content creation, customer communications, event coordination, and general office administration. This role ensures smooth day-to-day operations of the program, contributes to brand visibility efforts, and helps maintain a well-organized and professional work environment.

Essential Duties and Responsibilitiesinclude the following:


Marketing Support:


  • Assist with the creation, editing, and distribution of marketing materials (brochures, flyers, newsletters, digital content).
  • Develop social media strategy, including content, scheduling posts, engaging with audiences, and monitoring metrics.
  • Help coordinate marketing campaigns, email blasts, product launches, and special events.
  • Conduct basic market research and competitive analysis to assist with strategy development and defense brand launch.
  • Maintain and update marketing databases, customer relationship management (CRM) systems, and mailing lists.
  • Prepare basic analytics reports.
  • Assist with website updates.
  • Help organize promotional events, trade shows, and exhibitions.
  • Write press releases and work (when necessary) with Hendrick Motorsports marketing team.

Administrative Support:


  • Manage and organize calendars, schedule meetings, and coordinate travel arrangements.
  • Draft correspondence, memos, and presentations for internal and external use.
  • Maintain digital and physical filing systems.
  • Assist with proposal development.
  • Assist with the preparation and submission of expense reports, product quoting, and vendor invoices.
  • Act as a first point of contact for incoming inquiries (phone, email, website) and route appropriately.
  • Support office management as needed (order office supplies and marketing materials, giveaways, etc.)
  • Organize and host onsite customer and visitor meetings.
  • Organize product photo shoots.
  • Support other special projects or assignments as directed by leadership.

Education/Experience:


Associates degree required.  Bachelor’s in Marketing, Communications, Business or a related field preferred.  1-3 years of experience in marketing, administrative support or a related role. Strong written and verbal communication skills.  High level of organizational skills, attention to detail, and ability to manage multiple tasks simultaneously.  Comfort working in a fast-paced environment with evolving priorities.  Ability to maintain confidentiality and professionalism at all times. Creative thinking and problem solving is required.  Initiative and ability to work independently with limited supervision is required.

Adaptability and willingness to learn new tools and processes is required.  Must be willing to work outside of normal business hours.  US citizenship required with the ability to obtain access to government facilities.   

Certificates and Licenses:


Valid Drivers License

Computer Skills:


Strong proficiency in Microsoft Suite (Word, Excel, PowerPoint and Outlook) required.Experience with basic design and marketing tools (Canva, Adobe Creative suite, Mailchimp, HubSpot, or similar) preferred.

Communication Skills:


Must maintain the highest degree of confidentiality. Demonstrates exceptional written and oral communication skills.Ability to understand and follow instructions. Ability to communicate effectively with customers and company personnel.

Attendance Expectations:


The position requires regular and predictable attendance.  Role is not remote and must regularly be performed in the assigned office location. Scheduled shifts may include evening hours, weekends, and holidays.  Travel by air or car to tradeshows, events and customer meetings may be required. 

Physical Demands:


Requires vision (near, distance) and sense of touch. Constantly sits. Frequently stands, walks, manually manipulates, and lifts/carries up to 20 pounds.

Environment Demands:


Will require indoor and outdoor work. 

Verbal and Writing Ability:


Ability to read and comprehend instructions, correspondence, and memos.  Ability to effectively present information in one-on-one and small group situations to customers and other employees.

Math Ability:


Ability to add, subtract, multiply and divide.

Reasoning Ability:


Requires an ability to anticipate and deliver upon the needs of the organization. Will provide and apply creative solutions to maintain workflow. Will solve practical problems and deal with a variety of dynamic situations. Must have strong organizational skills, including the ability to prioritize, handle multiple projects simultaneously, and meet deadlines.
