The Account Coordinator plays a supporting role in client project management, scheduling, and administrative operations. This position ensures that day-to-day activities run efficiently and that our account team can stay focused on delivering exceptional service and driving core business KPIs.
Key Responsibilities:
- Answer incoming phone calls and route messages promptly to the appropriate team members
- Greet and assist visitors, clients, and delivery personnel at the front door
- Manage orders for vended products and office supplies, including tracking inventory and coordinating vendor deliveries
- Schedule installation and delivery appointments, communicating directly with clients, internal production, and external vendors to confirm timelines
- Maintain and update installation, delivery, and project calendars
- Follow up with clients to confirm proof approvals, installation readiness
- Assist with internal meeting scheduling for production handoffs and project milestones
- Track permit and inspection appointments (if applicable to projects)
Skills & Qualifications:
- 1-3 years of administrative, scheduling, or customer service experience preferred
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- Ability to manage multiple priorities and thrive in a fast-paced environment
- Proficiency in Microsoft Office
- Positive, team-oriented attitude with a knack for problem-solving
