Front Office Administrative Assistant

We are looking for a responsible Front Office Administrative Assistant who will be in charge of our reception area٫ acting as the company's ‘face’ and ensuring visitors are properly welcomed. Responsible for overseeing the day-to-day operations of the office, ensuring smooth and efficient functioning. Manage various aspects, including administrative tasks, office logistics, and employee support, acting as a key link between executive management and staff. 

Key Responsibilities


  • Oversee and manage all aspects of office operations, including facilities, supplies, and equipment.
  • Handle a wide range of administrative duties, such as scheduling, record-keeping, and correspondence management.
  • Provide administrative support to employees, addressing inquiries and resolving issues related to office operations.
  • Manage office supplies and equipment, ordering and stocking as needed.
  • Coordinate with facility management vendors, including cleaning, maintenance, and security.
  • Plan and coordinate in-office and off-site events, such as meetings, conferences, and celebrations.
  • Assist in managing the office budget, including tracking expenses and preparing reports.
  • Assist with HR-related tasks, such as onboarding new employees, and ensuring compliance with HR policies.
  • Serve as a central point for internal communications, ensuring team alignment and effective collaboration.
  • Identify inefficiencies and implement solutions to streamline office workflows and procedures.

Skills and Qualities


  • Strong organizational skills are crucial for managing multiple tasks and priorities effectively.
  • Excellent communication skills are needed for interacting with employees, vendors, and management.
  • Ability to problem-solve, identify and resolve issues related to office operations.
  • Proficiency in using Microsoft Office Suite and other relevant software.
  • Ability to handle a variety of tasks and adapt to changing priorities.
  • Accuracy and meticulousness in handling administrative tasks.
  • Ability to provide excellent customer service to employees and visitors.
  • Ability to prioritize tasks and manage time effectively.

Education and Experience


  • High school diploma or equivalent required; Associate Degree in office administration or related field preferred.
  • At least three years of administrative and clerical experience required.

Physical Requirements


  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
