Job Summary:
The Marketing Coordinator is a vital member of the marketing team, playing a central role in the content team. This position is responsible for project managing key marketing initiatives and ensuring that all marketing projects meet their deadlines. The Marketing Coordinator serves as the central hub for the marketing portion of new hire onboarding, corporate client/prospect webinar logistics, employee bios, and managing our print-on-demand vendor relationship. Additionally, this role assists with various project management tasks and more, requiring exceptional organizational skills, the ability to self-manage, and a detail-oriented, process-driven approach.
Essential Job Functions for this role include:
Project manage marketing communication plan for office openings, closures, and relocations:
· After meeting with local office leadership, create timeline for client communications, website updates, and more.· Collaborate with copy writer utilizing templated communication to produce compliance approved copy.· Responsible for overall project management and ensuring the project flows to timeline to ensure we are within compliance regulations.
Coordinator and facilitator of client/prospect webinars:
· Follow webinar strategy to work with speakers to coordinate dates for the webinar, rehearsals, presentation materials, etc.· Manage Zoom set-up of event, including the registration page, and run weekly registration reports.· Run rehearsal sessions as well as the live webinar.· Provide post event reporting.
Manage vendor relationships for marketing technology:
The person in this position is responsible for managing the relationship with two of our largest marketing technology vendors.
Print On Demand Vendor
We are in the process of switching vendors; the Marketing Coordinator will be a vital part of the implementation team with the new vendor. Core responsibilities of this relationship include:· Manage the relationship and stream of communication between Mercer Advisors and the print vendor.· Manage logistics for print material updates and inventory planning.· Manage and continually maintain up-to-date data bases for office address changes, credentials, titles, non-POD inventory, etc.· Primary on annual holiday card project.· Primary on employee access requests, and updates to office locations, credentials, titles, and signatures on Mercer on Demand.
Mercer Advisors Company Store
· Primary liaison between Marketing and store vendor, working with them to select items that are available for employee purchase.· Continually refreshing items by season, reviewing reports, and making suggestions for store improvement.· Work with HR and Community Marketing, as well as others when they want to order branded materials from the vendor.
Employee onboarding and updates:
· Facilitate the marketing onboarding process for new employees, where applicable, including training on how to order business cards, headshot and bio requirements, formatting of email signature, etc.· Manage bio and headshot submissions and updates through editing, compliance approval, and publishing.
Other duties:
· Manage Marketing ticket submissions through HALO.· Employee updates (bios, credentials, headshots)· Onboarding/offboarding· Access requests to marketing technology· Managing Marketing email boxes to ensure responses are delivered in a timely way.· Assisting with project management of various marketing programs and initiatives.· Enters projects as needed into project management software.
Knowledge, Skills, and Abilities:
Experience:
At least 1 year of administrative experience.
Skills:
Excellent verbal, written, analytical, and organizational skills. Proficiency with MS Word, Excel, PowerPoint, and Outlook. Experience with Zoom in a webinar capacity is a bonus. Must be proficient in using spreadsheets and word processing programs.
Attributes:
Highly organized, able to self-manage and switch between projects efficiently, extremely detail-oriented, and process-driven. Experience working in a fast-paced environment.
Work Schedule:
This professional role requires availability Monday through Friday, 8:00 AM – 5:00 PM with flexibility to work different hours to meet internal and external client needs.
Working Conditions:
Professional office environment, daytime hours, working inside, standing, and sitting, will be assigned to a workstation, no heavy lifting over 10 lbs.
